About the Job

This is a temporary / casual position, up to 14 hrs / wk, which will lead and assist in onboarding, training, and assisting the new IonE Grants Program Coordinator.

The Grants Program Coordinator coordinates and manages the day-to-day operations of IonE's granting portfolio, which includes large-scale Impact Goal grants and twice-yearly mini grants, among other calls and opportunities.

This position will be a member of IonE's administrative team, reporting to the IonE Director of Administration & Operations, April Deinken.

The candidate will have previously served in the role of the Grants Program Coordinator for IonE and would thus be uniquely qualified to serve as a trainer and peer mentor for the incoming incumbent.

The incoming incumbent will start in their role on 10 / 28 / 2024 and it is expected that, prior to the incoming incumbent's start date, role-specific onboarding be developed for their first two weeks.

Materials and trainings for the period after their first two weeks may be determined and developed, in partnership with the supervisor, at a later date and will be dependent upon the uptake proficiency of the incoming incumbent.

Meeting dates / times for the first two weeks between the Grants Program Trainer and Grants Program Coordinator will be mutually agreed upon prior to 10 / 28 / 24.

Meeting dates / times after the first two weeks will be determined at a later date. Most interactions with this position will be via Zoom.

Flexible work : This position has been designated as work profile 4. Profile 4 is expected to work fully remote. Your dedicated work space will be in your remote location.

IonE management retains the right to modify flexible work arrangement agreements on a temporary or permanent basis for any reason at any time.

Salary : This is an hourly position with an hourly rate of $35. There are no benefits associated with a temporary / casual position.

Principal Duties and Responsibilities

Develop and deliver role specific onboarding materials (70%)

This work relates to the development and delivery of onboarding materials as they relate to the position of the Grants Program Coordinator.

Regular responsibilities include :

  • Develop a cadence and timeline of Grants Program Coordinator role specific onboarding materials and tasks in accordance with the current & upcoming granting cycles in consideration of preparing for RFP releases, preparing for review cycles, preparing for project awards, and grant reporting.
  • Introduce and train the incoming incumbent to the granting portfolio tools and resources. This should include, but is not limited to, the Google Drive and other Google documents and Qualtrics.
  • Other duties as assigned

Ad hoc grants program support (30%)

This work includes the ad hoc support that may be required by the Grants Program Coordinator, the Director of Admin & Ops, and the Director of KI as it relates to the internal granting portfolio.

Respond to miscellaneous questions and assist with troubleshooting issues / concerns in the granting portfolio and related tools / resources

Qualifications

Required Qualifications :

  • BA / BS or a combination of education and work experience equal to four years; experience must include at least one year working in a professional office environment
  • Demonstrated commitment to valuing, promoting, and / or advancing diversity, equity, inclusion, and justice efforts
  • Experience managing IonE's internal granting portfolio and familiarity with IonE's granting cycles
  • Significant experience with UMN reporting center, Qualtrics, Google Workspace, and Google Apps Script
  • Customer service mentality, seeking to advance the Institute and its mission through service to key staff
  • Demonstrated process improvement and / or project management experience, including an ability to divide a project into discrete steps and tasks and perform those tasks or oversee them to project completion
  • Familiarity with accounting / financial processes & budgets
  • Exceptional written and verbal communication skills
