The Water Quality Program within the Department of Ecology is looking to fill an Office Assistant 3 position.
This position is locatedin our Headquarters Office in Upon hire, you must live within a commutable distance from the duty station.
Are you looking to work with a dynamic and dedicated team? In this role, you will support our work to protect and restore Washington’s waters by assisting with the collection of about $50 million per biennium in permit revenue from more than 6,800 water quality permit holders.
Permit fee revenue is important to sustaining operations in the Water Quality Program and other agency programs.

Duties
What makes this role unique?

You will be key to the success of our day-to-day operations. Strong multi-tasking skills and being comfortable diving into ordinary and unique tasks is a plus.
What you will do :
You will play a key role in assisting with day-to-day operations that help keep the Permit Fee Unit moving forward and remain responsive to our customers.
Some of the tasks that you will perform include :
- Process physical mail and helping to process email.
- Update database contact information.
- Scan and upload documents to drives or databases.,
- Day-to-Day management of permit files.
- Archive files annually and use agency archival records software.
- Assist with processing annual data collection forms.
- Process Public Records Requests.
Qualifications
Required Qualifications :
Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time.
We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked.
Examples of the proration calculations are :
- 30 hours worked per week for 20 months : (30 / 40) x 20 months 15 months full-time equivalent
- 20 hours worked per week for 12 months : (20 / 40) x 12 months 6 months full-time equivalent
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience.

Option 1 :
2.5 years of clerical experience.
Option 2 :
High school diploma or equivalent and two years of clerical experience.
Option 3 :
An Associate’s degree or higher AND previous clerical experience.

Desired Qualifications :

- Experience in managing regulatory documents, specifically permit records and permit-related databases, and responding to public records requests
