POSITION DESCRIPTION
POSITION TITLE : HS Counselor's Secretary III
DIVISION : Administrative Services DEPARTMENT : Student Services
DAYS SCHEDULED : 230 Work Day Calendar Annualized
SALARY SCHEDULE : CLAS RANGE D Starting STEP 01 $18.33 hr annualized
Hourly rate is based on experience, education, and ability to speak multiple languages.
REPORTS TO : High School Counselors
I. GENERAL DESCRIPTION
Prepares and maintains files, reports and records of a complex nature involving general administrative and confidential information.
Performs related work as directed. Performs many clerical tasks requiring a broad knowledge of office practices and procedures.
II. EXAMPLES OF DUTIES AND RESPONSIBILITIES
A. Handles telephone for counselor's office.
B. Sets up and maintains computer calendar of appointments for counselors.
C. Maintains files in the counselors’ office.
D. Organizes, prepares and sends all forms and reports.
E. Type recommendations for counselors.
F. Assists in preparation of student progress reports.
G. Keeps calendar of visits to be made by college representatives.
H. Assists with registration and collection of money for testing.
I. Performs other work as directed or required.
III. TRAINING, SKILLS AND EXPERIENCE REQUIREMENTS
A. Training and experience should be the equivalent of that normally received by graduation from high school with two or three years of clerical, experience.
B. Ability to establish and maintain effective working relationships with district personnel at all levels.
C. Ability to meet the public and create highly positive impressions.
D. Ability to exercise sound judgment in making minor decisions with only general administrative instructions.
E. Must have considerable skill in keyboarding and in preparing records, reports and other documents from available data.
F. Must be able to use office software as well as operate copier, fax machine, computer keyboard, printer, calculator, telephone equipment, and other office equipment.
G. Must be able to perform alphabetizing and filing tasks.
