Job Summary

Under the direction of the Orange Cluster Chief Administrative Officer (CAO) in the College of Letters & Science, responsible for management and leadership for the Undergraduate Advising Center, Advising and Counseling, Admissions and Academic Services, and Program Development and Administration.

Provide supervision and leadership for planning, coordination, implementation, and assessment for undergraduate advising, recruitment, retention, and outreach.

Manage the undergraduate academic programs housed within the cluster. Provide advising and counseling to undergraduate students.

Responsible for daily management of all advising center functions, confidential issues, and materials involving interaction with university administrators, deans and faculty, staff, students, and the general public.

Provide expert consultation to faculty, advising staff, department chairs, undergraduate directors, and CAO on undergraduate education and advising.

Implement and interpret complex University, Academic Senate, and Registrar rules and regulations governing the academic student records.

Develop advising assessment tools and strategies; create professional development activities for advisors; and work with the Campus and College Academic Advising leadership to implement campus-wide academic advising initiatives.

Act as the representative of the unit in discussions with other student-oriented units across campus, including all four colleges, Student Judicial Affairs, the Student Disabilities Center, Financial Aid Office, Intercollegiate Athletics, Education Abroad Program, Undergraduate Education, Student Academic Success Center, EOP, CLL, and the ICC.

Qualifications

Minimum Qualifications

  • Bachelor's degree in education, psychology, sociology, counseling-related field preferred, or equivalent combination of education and experience.
  • Demonstrated experience applying counseling and guidance techniques to provide academic advising and related services to undergraduate students at the University / College level.
  • Demonstrated skills in examining and assessing college transcripts and computing grade point averages and grade point balances.
  • Knowledge of State and Federal laws concerning confidentiality of student records. Demonstrated Skills to understand, interpret, and apply rules and philosophy to complex policies, procedures, and processes.
  • Analytical, problem-solving, and conflict resolution skills to analyze situations, initiate solutions, develop guidelines with coordinating groups and programs, and involving students and student interactions.
  • Interpersonal and communication skills to effectively interact with students, faculty, administrators, alumni, and community groups, including verbal and presentation skills;

writing editing, and proofreading skills to compose correspondence and prepare clear and concise summaries.

  • Organizational skills to provide direction in program planning and implementation and make presentations in group and public forums
  • Computer skills for word processing, creating spreadsheets, data processing and interpretation, and creation of presentations.

Preferred Qualifications

  • Masters degree in Student Affairs or Higher Education Administration or an equivalent combination of education and experience
  • Experience developing, organizing, and implementing educational programs, workshops, or seminars to enhance student development and retention for a diverse student population
  • Skills to supervise and lead professional and student staff teams in various professional settings, venues, and circumstances.
  • Ability to establish and maintain working relationships with constituencies inside and outside the university.
  • Ability to synthesize information, concepts, and ideas from various sources to design and implement programs and administrative advising support systems.
  • Ability to develop timelines and to work effectively within them.
  • Ability to develop and administer goals for projects as necessary.

Department Overview

The Orange Cluster Administration supports three academic units : Communication, Linguistics, and Political Science, and is comprised of approximately 60 ladder-rank faculty members, 10-15 unit-18 and Continuing and Temporary Lecturers, over 105 non-Senate academic employees of varying titles per quarter, 15 FTE career staff, 105+ graduate students, and 2,500+ declared undergraduate majors.
