Our prestigious law firm is seeking an experienced Legal Secretary to join our team. This is a permanent position, offering an exciting opportunity to work in a dynamic, fast-paced environment with a team of top-tier legal professionals.

The successful candidate will play a crucial role in supporting our attorneys by managing administrative tasks, ensuring efficient office operations, and providing high-quality legal assistance.

Responsibilities :

1. Manage and maintain attorneys' schedules, appointments, and travel arrangements.

2. Manage all aspects of document preparation and management, including drafting, proofreading, editing, copying, and filing / e-filing of legal documents.

3. Coordinate and schedule hearings, depositions, meditations, and other meetings.

4. Maintain strict confidentiality of sensitive information, in line with firm policy and legal regulations.

5. Deliver exceptional customer service, handling client inquiries and requests promptly and professionally.

6. Perform transcription and data entry tasks accurately and efficiently.

7. Utilize legal terminology knowledge in preparing and managing legal documents and correspondence.

8. Conduct administrative duties such as faxing, filing, and maintaining office supplies.

9. Utilize document management systems such as Coyote and Worldox effectively.

10. Assist with insurance defense cases and other legal assignments as required.

Qualifications :

1. Minimum of 3 years of experience as a legal secretary or similar role in a law firm or legal department.

2. Proficiency in document management, client relations, and office administration.

3. Excellent communication and customer service skills, with the ability to handle client relations professionally.

4. Strong organizational and time management skills, with the ability to multitask and prioritize tasks in a fast-paced environment.

5. High level of attention to detail and accuracy in all work.

6. Proficiency in transcription and data entry.

7. Proficient typing skills and extensive experience with file management and document preparation.

8. Familiarity with legal terminology and insurance defense.

9. Experience in scheduling depositions, mediations, and hearings.

10. Ability to maintain confidentiality and handle sensitive information with discretion.

11. Proficiency in using office equipment such as fax machines and document management systems, including Coyote and Worldox.

12. Strong proofreading skills and the ability to spot errors in legal documents.

13. Experience in the legal industry is a must, preferably in a law firm setting.
