The Office of Financial Aid and Scholarships plays an integral role in assisting UCSB students achieve their higher educational goals.

Our office oversees and disburses approximately $400 million in student aid to over 16,000 students annually at UCSB. We work closely together in a fast-paced, detail-oriented environment, dedicated to supporting the mission of our Office and the University.

Promise Scholar Program Overview :

The Promise Scholar program at UC Santa Barbara empowers high-achieving, first generation students from low-income households.

The Promise Scholar program offers $120,000 in grants and scholarships to first year students over four years and $60,000 to transfer students over two years.

Brief Summary of Job Duties

The Promise Scholar program funds and supports nearly 500 extreme low income, first generation, and underrepresented students on the UCSB campus.

This number is expected to increase with the addition of a Promise Scholar Assistant Director. The primary objective of the program is to attract high achieving underrepresented students to the campus and to increase the four-year graduation rates of this population.

  • These goals are pursued by : providing undergraduate low income students with a full four years (two years for transfer students) of predictable financial aid funding;
  • providing Promise Scholars the academic support and additional training needed to succeed academically; providing training for students to succeed in graduate school / workforce;

helping students maintain social and mental health. The Promise Scholar program assistant director will assist with reaching these primary goals of the Promise Scholars program and also will assist with the Scholar Retention Program (SRP).

SRP funds academically dismissed, low income students in summer to return to the university and complete coursework to get back in good standing with the university and in line to graduate with a degree.

Recruitment efforts for this program begin in winter and continue throughout summer. Similar to the Promise Scholars Program, SRP provides wrap-around services to high need students for the duration of the students' time at UCSB and assists students with graduate or professional world preparation.

Additionally, the Promise Scholar assistant director, along with the director, works to serve all students who need assistance, regardless of whether they are in the program or not.

The assistant director will utilize systems such as Gaucho Blue, AAA, and Zones in order to assist students.

Required Qualifications

  • Bachelor's Degree in related area and / or equivalent experience / training
  • Experience working with first-generation college students from diverse backgrounds
  • Knowledge of trends and issues facing low-income and first-generation college, underrepresented, disadvantaged, physically challenged, and under prepared students in higher education.
  • Excellent organizational skills and ability to build relationships with on-campus and community partners.
  • Ability to represent the Promise Scholar Program to senior administrators, non-profit organizations, donors, counselors and prospective / current UCSB students at the highest professional level.
  • Ability to relate to and work well with students from diverse backgrounds, manage workload, prioritize tasks and work on multiple projects under the pressure of tight timelines.

Preferred Qualifications

  • Solid understanding of student success strategies.
  • Bilingual preferred.
  • Knowledge and experience working with complex populations in the higher education setting.
  • Experience in data collection and analysis.
  • Experience conducting and / or planning workshops promoting student success, including graduate school and professional career goals.
  • Working knowledge of UCSB support services for first-generation students and high need student populations.
  • Fundraising experience and grant administration.

Job Functions / Percentage of Time / Duties

60% Promise Scholar Program Coordination and Advising

Under the supervision of the Promise Scholar program director, the assistant director provides direct oversight of approximately 500 scholars, assists Promise Scholars participants with time management, career prep, graduate school prep, campus navigation, class selection and all other student needs.

The assistant director works with campus networks (Social Workers, Basic Needs, Housing, Billing, Financial Aid, faculty, and relevant staff as needed) to assist students in any situation and works to ensure the academic and social success of Promise Scholar students through the program's high touch model with the goal of graduating UCSB's high need, first-generation and under-represented students on-time and with as little debt as possible.

The assistant director specializes in serving students in crisis, responds to students and program supporters in a timely manner, is proactive, is a problem solver, and maintains calmness under pressure at all times.

Along with the Assistant Vice Chancellor for Enrollment Services and the Promise Scholar Director, the assistant director will help select new candidates for the program annually and assist with yield efforts to bring California's top scholars to UCSB

20% Scholar Retention Program Coordination and Advising

In partnership with the financial aid office, Student Health, BARC, Summer Sessions, and Academic Advising, the assistant program director coordinates and selects, interviews, and tracks students in the Scholar Retention Program- a program designed to reintegrate academically dismissed, low income students back into the university.

The assistant director works closely with a wide range of campus departments to tailor an academic plan for each individual student with the goal of getting each student back into good academic standing.

This also includes working with billing and accounts receivable and financial aid ensure the student can afford to return to campus.

The assistant director will also help students with housing, accessing mental health services, academic advising as well as other essential services to ensure a successful reentry to the campus community.

10% Fundraising and Grant Writing

The Promise Scholars Program attracts donors who often want to financially support new students through gifts of all sizes.

The assistant director will help coordinate giving opportunities, assist with scholarship awarding and selection, stewardship efforts, student interviews, communications with donors and tracking scholarship recipients and duration of awards.

This position will also interact with current and prospective donors both in person and in writing as needed.

5% Onboarding and Data Collection

As part of the Promise Scholar Program, effective onboarding is essential to student success. The assistant director leads the program's efforts to welcome students to the UCSB community, which includes helping them with the various steps to enrollment.

They will also serve as a liaison between the Promise Scholar Program and the Freshman Summer Start Program to ensure new students are welcomed and onboarded to the program and campus.

The assistant director performs a wide range of functions, including data collection, tracking, and analyzing program outcomes (including programs outside of the Promise Scholars such as Propel and Presidential Scholars).

Assists in collaborations with high schools, EAOP, community colleges, and community organizations who pipeline and support similar student populations who may become additions to the Promise Scholars program.

5% Departmental / Other Duties

Communicates with parents as needed, including fielding questions related to financial aid, budgeting, and talking with parents at the Open House.

Assists with events, marketing, outreach, summer peer mentor program, and all necessary functions of the Promise Scholars office.

  • Assist with other duties as assigned. In conjunction with the Program Director, the assistant directs helps to maintain records, promotional materials, the PS library, social and website media, contracts, and tracking for PS;
  • Enforce contractual agreements; Organize events, orientation / contract signing, workshops, GRE prep, and all other programming for PS;
  • Oversee the PS student advisory board and the peer mentor program each summer and throughout the year; Assists with PROPEL! Scholar selection and with their student needs;
  • Assists with the Presidential Scholars program when needed; Present and network the PS program to other offices and entities on and off campus;
  • Helps run PS advisory board meetings; Assists with the PS portion of the Gabler Promise Scholar Writing Fellowship program;

Create and implement programming for PS in FSSP; Work closely with academic advisors, judicial affairs, community police, housing, Unity Shoppe, and other offices of campus to elevate campus-wide and community support of the PS program.

Additionally, the assistant director works with program director to assist students with education abroad promotion, materials, budgeting, and assists with students who may experience a crisis while abroad.
