We are looking to hire an Administrative Assistant / Scheduler located in the Central Florida area for our growing team. This position is in-person, requiring candidates to be in our Lakeland office 5 days / week.

Responsibilities

  • Coordinating, scheduling, appointment-setting, and performing other administrative activities for the company.
  • Responsible for scheduling all field inspections and conference calls.
  • The ideal candidate should possess excellent communication skills, be highly organized, dependable, and able to multitask.
  • The position involves frequent phone and email communications with outside parties. As such, the candidate should have exceptional telephone skills and office etiquette, along with a warm and outgoing personality.

It is important to us that the candidate can interact effectively with individuals from all backgrounds.

Schedule / Location

  • Lakeland, FL
  • In-office, Monday through Friday.
  • 8 hours per day.

Required Experience and Skills

  • High School diploma necessary, some college preferred
  • Computer proficiency required, Mac OS experience a plus
  • Proficiency with Microsoft Office Suite
  • Strong organizational and time management skills
  • Critical thinking and reading comprehension
  • Strong social / interpersonal skills
  • Strong writing knowledge / skills

Preferred Skills

  • Previous administrative or clerical experience preferred.
  • Bilingual (English and Spanish) is preferred, but not necessary.

Tasks

  • Attend to incoming phone calls and record messages
  • Respond promptly to incoming emails
  • Set up engineering projects
  • Schedule inspections and conference calls for multiple individuals
  • Assist occasionally with report production / review
  • Complete additional clerical / administrative duties as necessary
