Job Summary
Windmoor Healthcare is seeking an experienced Executive Assistant to provide high-level administrative support to our CEO.
The Executive Assistant provides administrative support to the Chief Executive Officer and other department heads as needed.
They are responsible for producing assigned correspondence; answering and screening telephone calls, providing information or referring to appropriate staff, taking messages;
opening, scanning, distributing, as appropriate, the Chief Executive Officers mail, and disposing of routine correspondence, setting up meetings and appointments, taking meeting minutes, arranging special conferences and special projects as assigned by the Chief Executive Officer.
- The Executive Assistant assembles, and summarizes materials, information, and data for the Board of Governors, and Windmoor Behavioral Hospital consideration and action;
- may take and transcribe dictation of confidential, technical, and / or legal material requiring high degrees of accuracy;
records and transcribes proceedings of meetings and conferences. Types Quarterly Goals and Objectives, the monthly Chief Executive Officer Reports, and the annual Business Plan and related documents for submission to Universal Health Services Corporate Offices.
The Executive Assistant is responsible for credentialing and maintaining all Medical Personnel records. They are also responsible for managing and maintaining all hospital contracts.
The Executive Assistant is also responsible for updating the hospital's by-laws. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.

- Manage and maintain the CEO's schedule, including arranging meetings and appointments
- Manage contracts
- Manage and administers Physicians credentials in Florida
- Prepare reports, memos, letters, and other documents
- Coordinate travel arrangements and accommodations
- Conduct research and compile data as needed
- Act as the point of contact between the CEO and internal / external stakeholders
- Handle sensitive information with confidentiality
- Assist in project coordination and follow-up on action items
Qualifications
Bachelor's degree and a minimum of five (5) years of secretarial / administrative assistant experience preferred; three (3) year experience in health care field preferred.
- Proven experience as an Executive Assistant or similar role
- Proficient in transcribing meeting minutes and clerical tasks
- Strong knowledge of Microsoft Office Suite (Outlook Calendar)
- Excellent customer service skills with a professional demeanor
- Outstanding organizational and time management abilities
- Ability to prioritize tasks and work under pressure
- Experience in administrative support or project coordination is required
