Job Summary The STEM Research Center is seeking a Polar STEAM Logistics Coordinator. This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Polar STEAM Logistics Coordinator is a professional position responsible to ensure all logistical needs of the Polar STEAM program, its partners and participants are met.

Polar STEAM () is funded through a National Science Foundation (NSF) Cooperative Agreement which charges OSU to facilitate and lead a comprehensive science outreach and engagement operation throughout the US and in remote international field locations in the Arctic and Antarctic and on seagoing research vessels.

• This 1.0 FTE position has responsibility to provide program support to the Polar STEAM PIs across four OSU units including : the STEM Research Center (SRC);
• Patricia Vallian Reser Center for the Creative Arts (PRAx); the College of Earth, Ocean and Atmospheric Sciences (CEOAS);

and Pre-College Programs. The Logistics Coordinator will draft NSF reports, plan NSF site visits, and support engagement with the Network of Experts.

They will arrange team meetings, coordinate and maintain project timelines in alignment with field deployments and NSF expectations, coordinate risk management activities and other compliance requirements (e.

g. relevant international agreements or field station infectious disease protocols).

The Logistics Coordinator will serve as the field safety coordinator and safety point of contact for 12-24 participants annually who deploy to the Arctic and Antarctic and coordinate all participant logistics for both field and virtual collaborations including outfitting educators and artists, ensuring appropriate room / board / equipment, arranging travel for field deployments, collaborator visits, conference participation, reimbursements and stipends, support preparation of participants in completing physical qualifications, accessing and using appropriate technologies, and completing NSF required deployment documentation.

The Logistics Coordinator will work closely with the Outreach and Engagement Lead and other team members to support the process of matching researchers with educators and artists, facilitating virtual safety and programmatic training, planning for appropriate technical support to ensure both virtual and field participants can complete their work, and communicate program activities and impacts to stakeholders and the public.

The Logistics Coordinator will serve as a liaison collaborating and supporting relationships with federally contracted logistics operators, research field stations, research vessel ship operations, universities (including minority serving institutions), 2-year colleges, K-12 institutions, and science and technology NGOs.

This position reports to the Lead Principal Investigator within the OSU STEM Research Center and maintains collaborative working relationships with the entire Polar STEAM team, NSF, contractors, stakeholders and participants.

• Coordinate logistics and provide programmatic support to fulfill the Cooperative Agreement between OSU and NSF to facilitate Polar STEAM.
• Organize and track all program participants’ attendance, locations, travel, field reports, etc.
• Cultivate and maintain productive relationships with up to 50 scientific teams and more than 10 arctic field stations to enable new and recurring field deployments and virtual collaborations.
• Research, identify and arrange loan and / or purchase of appropriate personal gear for Arctic participants (e.g. sleeping pads, tents, boots, glacier googles) and outerwear for all field participants.
• Ensure participants receive resources (including personal gear, room and board) similar to that of the deploying research team.
• Serve as the primary support and point of contact helping participants to effectively interact with logistical partners.

Ensure participants and contractors have positive, timely and effective interactions that support safe, cost-efficient and enriching field experiences.

• Ensure all participants obtain the necessary permits, insurance, travel authorizations, physical exams needed prior to field experiences.
• Ensure environmental compliance and safety of all programmatic activities in compliance with international agreements, field station and research vessel policies, and NSF requirements.
• Provide data to external evaluators who will measure the effectiveness of safety training, including training on harassment in alignment with the program facilitation plan.
• Arrange all participant travel to field experiences, conferences, and other associated professional development opportunities.

Collaborate with the Outreach and Engagement Lead and the Fiscal Coordinator to ensure travel meets program goals and fits within the budget of the program.

Lead the planning, logistics, and implementation of annual NSF site visits and the Network of Experts Annual Meetings.

15% Provide Direct Support, Collaboration and Thought Partnership

• Provide direct support to Outreach and Engagement Lead in annual processes to recruit, select, and vet participants with responsibility to analyze and make recommendations related to safety and risk.
• This includes reviewing selection criteria and assessment rubrics; engaging internal and external advisors as assigned; ensuring the selection process is valid, fair, inclusive, timely and transparent;

assessing and mitigating incidence of bias in recruitment and selection process; and aligning the recruitment and selection process with the goals of the program, the cooperative agreement with NSF and availability of field locations and research teams.

• Provide thought partnership and collaborative support to Outreach and Engagement Lead in development of pre-, post-, and in situ participant professional development activities that promote collaboration and integration of educators, artists, writers, and scientists while maintaining a safe, secure and inclusive environment.
• Collaborate with the Outreach and Engagement Lead to schedule and conduct the process for matching and support ongoing collaboration between scientists with artist, writer, and educator participants.
• Collaborate with the Outreach and Engagement Lead to schedule, develop and deliver necessary safety trainings and pre-deployment safety checks.
• Provide direct support to the Program PIs across all involved units in the form of coordinating, planning, designing, facilitating or drafting documents for program activities, events or initiatives.
• Work with OSU Risk Management to draft and / or update appropriate policies and practices and waivers to ensure participant safety and program compliance with federal and international policies and legal agreements and OSU policy.

10% Communications and Outreach

• Provide participant data and information to support website updates and periodically review the website for accuracy and completeness.
• Collaborate with the communications coordinator to provide information in support of the program communications strategy.
• Collaborate with the communications coordinator to maintain the NSF approved brand identity for Polar STEAM aligned with program objectives.
• Communicate productively and respectfully with the Polar STEAM team effectively applying an internal communications framework.
• Coordinate with team members to draft clear and concise messaging for listservs and other venues as assigned.
• Provide logistical and technical support to virtual and field participants in sharing their experiences with public audiences.

This includes ensuring participants have the necessary equipment and technical knowledge to collect and share multimedia documentation.

Provide logistical and technical support to the Polar STEAM team in delivering public engagements or other special events.

This includes live from the field , video showcases, Flickr or other cloud-based photo archives, and other special events to showcase participant work.

Work with the communications coordinator and participants to support the Polar STEAM social media presence.

20% Monitoring and Reporting

• Coordinate the timely development and delivery of monthly, quarterly, annual, and other requested reports to NSF program officers and other program partners as needed.
• Provide analysis and progress updates towards strategic goals and participant engagement targets.
• Conduct program and policy needs assessments and analyze safety practices related to participant safety and satisfaction;

make relevant recommendations to PIs and follow up with implementation accordingly.

• Collaborate on the development of required annual workplans, budgets, and supplemental requests for NSF working closely with program leadership (PIs) and the Fiscal Coordinator.
• Create regularly monthly (or as requested) status reports on participant and logistics activities including accountability for participant related program expenditures.
• Additional monitoring, tracking and reporting as assigned.

What You Will Need

• Bachelor’s degree science, arts, or education AND at least 3 years, OR graduate degree and at least 1 year, of successful experience working as part of a team engaged in field-based science.
• Previous employment, or significant collaborative experience, with field-based or ship-based research or educational programs.
• Demonstrable commitment to promoting and enhancing diversity, equity, inclusion and belonging in science, education, engagement and / or arts programs or settings.
• Experience supporting underserved and underrepresented people to fully participate in STEM or STEAM research, outreach and education programs.
• Experience monitoring safety and risks and developing actionable strategies to increase safety and reduce risk in a scientific, educational, or resource management settings.
• Experience living and / or working at research field stations, camps, or other remote sites.
• Exceptional teamwork and adaptability with demonstrated ability to prioritize and work effectively in a dynamic team environment.
• Demonstrated exceptional verbal and written communication and organizational skills that significantly contributed to the success of programs, projects or initiatives.
• Experience successfully using digital tools to safely and securely collaborate and share documents.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard : 05-010 et seq.

Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

• Experience developing, implementing, and monitoring risk management plans.
• Experience using communications platforms including social media and web-based content management systems.
• Background in STEM, STEM education and / or the creative arts and / or public engagement with arts / sciences.

Working Conditions / Work Schedule This work is in-person on the Corvallis campus within the STEM Research Center during normal working hours.

Partial remote work is negotiable. Flexible and on call hours may be required while participants are deployed to field locations and to accommodate partners in multiple time zones.

Out of state and limited international travel is required and anticipated to occur 1-3 times a year.
