Position Overview :

Rowan Appliance Inc. is seeking a highly organized and proactive Executive Administrative Assistant to provide high-level administrative support to our executive team while also overseeing key operational duties within finance and HR.

In this role, you’ll manage the day-to-day administrative functions, while also acting as a trusted partner to our executives to streamline operations and manage confidential projects.

Key Responsibilities :

Executive Support :

  • Serve as the primary point of contact for executive leadership, managing their schedules, travel arrangements, and meeting coordination.
  • Prepare executive-level presentations, reports, and correspondence on behalf of the leadership team.
  • Organize and manage confidential files and documents, ensuring security and compliance with company policies.

Expense & Financial Management :

  • Organize and record company expenses, manage receipts, and prepare detailed reports for cost tracking, budgeting, and tax filing purposes.
  • Provide financial support by overseeing company expense reports, purchase orders, and invoice processing in alignment with executive review.

HR & Compliance Support :

  • Assist with employee onboarding, benefits administration, maintaining employee records, and distributing California-required HR documents.
  • Manage timesheets, PTO tracking, and coordinate employee performance reviews and compliance reports.
  • Act as a liaison between executives and employees for HR matters, ensuring timely and accurate communication of policies and procedures.

Operational Support :

  • Proactively manage multiple executive calendars, schedule internal and external meetings, and coordinate company-wide events or meetings as needed.
  • Assist with vendor management, office supplies, and general office operations.
  • Prepare meeting agendas, take detailed meeting minutes, and follow up on action items to ensure timely completion.

Project & Ad-hoc Support :

  • Take charge of special projects assigned by executives, ensuring quality, confidentiality, and timeliness of deliverables.
  • Handle ad-hoc tasks and requests to support the executive team with any immediate business needs or challenges.

Qualifications :

  • Bachelor’s Degree Required : In Business Administration, Accounting, Human Resources, or a related field.
  • Experience : 3+ years of experience in an administrative or executive assistant role, preferably with finance, HR, or project management responsibilities.
  • Skills : Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint), experience with financial tracking software (QuickBooks or similar), and familiarity with HR processes.
  • Detail-Oriented & Organized : Excellent time management, multitasking abilities, and attention to detail.
  • Communication & Discretion : Exceptional verbal and written communication skills with the ability to handle confidential information.
  • Problem-Solver : Ability to anticipate executive needs and solve problems with a proactive approach.
