About This Role :
As a vital Office of the Registrar (REG) member, the Registrar Data and Process Coordinator will report directly to the University Registrar.
In this role, they will work closely and collaboratively with various units within REG, providing support as needed to internal business processes and functions.
Their primary focus will be supporting existing business processes related to REG, re-designing and streamlining them where appropriate, and updating / creating new business processes if necessary.
This position will also enhance all requirements processes, particularly those involving new processes, reports, requirements, courses, and programs.
They will review best practices across peer institutions and recommend new structured frameworks, addressing inefficiencies and ambiguities around current SIS processes and reporting needs.
The following include but are not limited to the primary duties :
Performs experienced business analyses, including building data models, business use cases, process flows, and technical specifications for transitioning to IT solutions;
establishes system requirements through functional and technical assessments of existing software.
- Develops test plans and conducts system / integration testing; can test changes, enhancements, and new programs or functions to ensure they meet business needs.
- Batch Production Processing This position is responsible for maintaining critical batch processes running in KSIS and distributing this information to campus users and contracted third-party vendors, which is essential for critical university business operations.
- Responsible for the critical processing of student records, including the daily maintenance of grade rosters for all standard and non-standard classes.
Grade rosters are created and posted daily and must be monitored to ensure that instructors have access to them in a timely manner so that grades can be posted to students' records.
Daily, utilizes SIS (PeopleSoft) reporting tools, including Campus Solutions Query Tool, Access, and Excel. Examples include but are not limited to reporting, providing information from end-of-term reporting, academic standing, missing grades, etc.
Numerous critical reports are distributed to the deans' offices after the end-of-term grade posting. This position is responsible for creating and distributing critical reports that the colleges utilize to make decisions on awarding honors and making essential dismissal decisions.
Supports the Academic Technology unit and all REG functional areas when new releases or application software modifications occur.
Collaborates with other Office Leadership to ensure data accessibility and integrity.

Minimum Qualifications :
- Associate degree and three years of relevant experience.
- This position may use an educational equivalency as determined relevant by a hiring manager.
Preferred Qualifications :
- Master's Degree
- Higher Education / post-secondary experience : one to three years progressively responsible experience in Enrollment Management (Admissions, Financial Aid, and Registrar) or experiences directly related to the area of expertise that interacts with these offices' business processes.
- Excellent analytical skills the ability to independently define problems accurately and concisely, using both quantitative and qualitative methods, develop and execute one or more solutions, and evaluate their effectiveness.
- Ability to communicate effectively, both orally and in writing, with people from all levels and backgrounds at the University, including students, families, and faculty members successful candidates must excel in this area and will be able to demonstrate their ability to do this exceptionally well in challenging contexts.
- Knowledge of student records maintenance, registration / enrollment processes, degree and graduation processes, and verification procedures.
- Proven track record of conducting process reviews and making actionable recommendations.
- Advanced knowledge of Student Information Systems and technology platform(s) - i.e., PeopleSoft / Oracle, uAchieve / DARS, Imaging (Perceptive / ImageNow), PL / SQL, Crystal Reporting, PowerBI / Tableau, etc.
- Ability to devise or modify complex information systems, including analyzing business and user needs, documenting requirements, and revising existing system logic difficulties.
- Exercise independent judgment in evaluating situations, making decisions, and quickly grasping new techniques and updates to products / processes.
- Experience working with diverse populations, providing training and technical development, public speaking, presentations, and customer service in higher education-related areas.
