Job Summary : Under the supervision of the Director of Impact and Engagement, the Receptionist is responsible for answering phone calls, greeting all visitors and customers, providing high level direction of next steps and administrative support for two nonprofit organizations.
A demonstrated ability to efficiently manage two different phone and operating systems simultaneously is essential.
Job Qualifications :
- High School Diploma or equivalent
- 2+ years of Reception experience in a busy office setting, preferably in nonprofit sector
- Bilingual in Spanish is preferred.
- Proficient in MS Office (Outlook, Word and Excel)
- Must possess excellent interpersonal and communication skills (both written and verbal) and demonstrate ability to work with a wide range of constituents and diverse audiences
- Ability to learn quickly and assimilate new systems and information. High comfort level with phone systems, copiers, and other general office use equipment.
- Ability to keep confidences and work with extremely sensitive materials
- Ability to multi-task, while being detailed and work under pressure.
- Must be a team player
- Ability to cope with mental and emotional stress related to the position, function independently, having flexibility, consistency and professionalism.

- Serves visitors by greeting, welcoming, and directing them appropriately.
- Answer agency phone calls, screen and direct clients as appropriate, provide accurate description of services, and refer to external services as necessary.
- Performs general office duties including opening, sorting, and distributing incoming correspondence such as faxes, mail, drop box, and deliveries.
May also need to stock and order office supplies.
- Occasionally, donors may mail in or walk in with a donation and adherence to the donor payment process is imperative.
- Helps maintain facilities calendar by adding events and communicating with colleagues about facility events and activities.
- Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
- Operates telecommunication system by following manufacturer's instructions for house phone and console operation.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- Maintains displays of informational materials and notifies appropriate department when materials are depleted.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed.
