The Leasing Representative is responsible for acting as first point of contact for all prospective and current residents at the community.
The Leasing Representative performs all activities related to apartment rentals, move-ins and lease renewals, generating and handling traffic, qualifying prospects, preparing lease documentation, and handling current resident relations in accordance with the Company’s and the property’s established policies and procedures.
Essential Job Functions
- Provides first-line customer service by creating and maintaining a professional and welcoming environment for prospective and current residents, as well as property guests.
- Greets prospective residents, determines needs and preferences, leads tours of property, shows vacant units and markets property amenities to close sales and maintain occupancy.
- Provides daily customer service and issue resolution for current residents.
- Maintains responsibility for all activities related to apartment rentals, move-ins and lease renewals, including generating and handling traffic, leasing apartments, and qualifying prospects.
- Prepares lease documentation and completes move-in and move-out procedures in accordance with the Company’s and the property’s established policies and procedures.
- Maintains a thorough knowledge of the market and facilitates prospect generation through the most effective advertising mediums and prospect follow-up.
- Provides high quality resident service and conveys resident service requests to the Maintenance Supervisor and other service associates.
- Inspects models and market ready vacancies daily to ensure cleanliness.
- Inspects community grounds and reports any service needs to maintenance staff; inspects move-ins, move-outs, and vacancies.
- Develops thorough knowledge of the product, as well as the rental community, and surrounding market.
- Answers incoming phone calls and handles each call accordingly, whether it is a prospect call, resident, service request, etc.
- Completes Guest Card Information form for all prospective residents and performs proper follow-ups.
- Completes all lease applications, assists with application verification and notifies prospective residents of decision.
- Provides proper written communication with residents as needed.
- Completes all lease paperwork and accepts rent and deposits.
- Prepares daily and weekly reports, move-out inventory, market surveys, etc. as needed.
- Organizes and files appropriate reports, leases and paperwork.
- Maintains regular daily office hours, ensuring adequate coverage on weekends and holidays.
- Agrees to flexible or extended office hours during leasing season and holidays.
- Conducts all business in accordance with Company policies / procedures, Fair Housing, American with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to housing.
Knowledge, Skills, and Abilities
- Minimum of two years sales / leasing experience or equivalent.
- Demonstrated experience delivering exceptional customer service.
- Ability to follow directives and work with minimum supervision.
- Superior written and verbal communication skills.
- Ability to see a project through to completion.
- Ability to interact positively with residents, employees, vendors and the general public.
- Basic arithmetic skills.
- Ability to pay close attention to detail and adhere to strict deadlines.
- Excellent follow up and follow through skills.
- Organizational skills to enable effective management of multiple, shifting priorities.
- Ability to work as a team member.
- Proficient in Microsoft Office, Excel, PowerPoint, Outlook, and Word; CRM / Yardi experience preferred.
- High School Diploma or equivalent required.
- 4-year BA / BS degree in Marketing, Sales, or related field preferred.
