Summary of Job Duties : The Executive Assistant (EA) manages the day-to-day operations of the department and has an integral role in the implementation of new and continuing educational programs (6 current primary educational programs and 1 affiliated program), the needs of faculty in relation to grant applications and awards, the scheduling of educational offerings such as seminars, maintaining schedules for the chair, planning faculty meetings, and other tasks relevant to maintaining a functioning department of approximately 12 faculty.
The EA is the main contact for all administrative issues in the department.
Qualifications :
Bachelor's degree plus two (2) years of administrative or related experience or
High School diploma / GED plus six (6) years of administrative or related experience required.
Proficient use of Microsoft Office
Preferred Qualifications

Responsibilities :
Provides high level administrative support to the Chair of the Department of Health Policy and Management and the faculty within the department.
Responsibilities include : maintaining schedules for the Chair, maintaining professional memberships, maintain travel for Chair and faculty, oversee requisitions for books and other items that may be purchased off grants and personal development accounts.
Oversees computer needs for faculty and graduate students, maintain files for faculty evaluations and promotion, manage the day to day operations of the department including faculty meetings and notes, ordering supplies, contracting for copier services, scheduling meetings, and other activities.
Responsible for coordinating all aspects of departmental hires including communicating letters of offer, moving expenses, onboarding, start-up packages, computer support, and office space.
Communicates with IT to ensure the proper functioning of electronic devices necessary to support the department.
Organizes and coordinates educational activities.
Assures departmental educational offerings are listed correctly across the various programs (Analytics, EMBA, PhD, MPH and DrPH).
Understands and troubleshoots problems in GUS and Blackboard for faculty and ensures faculty have secured classrooms for teaching.
Schedules seminars, including defenses, and ensures that offsite faculty can participate through technology.
Assists with the Walton College collaboration and faculty in that program to ensure the program achieves its goals.
Provides support for ensuring the correct transmission of grades and transcripts as needed in the department.
Works with the directors of the certificate, MPH, MHA, EMBA and PhD programs to ensure that all accreditation and certification requirements are being met.
Assists with all facets of the department in ensuring that the Chair, the faculty, and staff have access to campus resources necessary to perform their position.
Performs other duties as assigned.
