PRIMARY PURPOSE / GENERAL DESCRIPTION :

Reporting to the Director of Advancement Services and Operations, the Advancement Database Coordinator maintains the integrity of the Raiser's Edge database, ensures accurate data updates from various platforms into the database and collaborates with division team members on projects related to gift processing, fundraising, alumnae and parent engagement, and stewardship.

This role supports the operations of the External Relations Institutional Advancement (ERIA) division by ensuring the highest integrity of constituent and gift records.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES :

ESSENTIAL FUNCTIONS :

  • Manage constituent records by updating contact information obtained through self-reported forms, staff contact, solicitation remits, returned mail and data clean-up projects.
  • Update student records in response to email notifications from the Office of the Registrar.
  • Understand gift accounting functions, including troubleshooting, providing documentation for the auditors, and following best practice.
  • Assess gift accounting processes and recommend improvements.
  • Act as backup in the absence of the Gift Processing Coordinator.
  • Assist the advancement services team in managing the accuracy and integrity of donor and alumnae information; Conduct constituent and alumnae record audits.
  • Participate in the department's reconciliation of gifts and pledges between the Advancement database and the College's general ledger.
  • Participate in gift entry audits and reporting; troubleshoot data discrepancies.
  • Collaborate with ERIA Staff to execute queries and reports that meet business needs and fulfill strategic initiatives.
  • Work on cross-departmental projects in support of the ERIA division strategies and goals. Participate in project planning meetings contributing expertise based on knowledge of the data and systems used within the division.
  • Active supportthe College's Principles of Community and Principles of Diversity in the performance of job duties.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES :

Individuals must possess knowledge, skills, and abilities to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

  • General understanding of donor-centric fundraising principles and practices and the ability to translate that knowledge into data management procedures.
  • Knowledge of current trends in database management, annual giving and gift management support, using CASE (Council for the Advancement and Support of Education), AASP (Association of Advancement Services Professionals), APRA (American Prospect Research Association), and AFP (Association of FundraisingProfessionals) professional association guidelines.
  • Ability to manage competing priorities and multiple tasks effectively with flexibility.
  • Ability to communicate effectively and work multi-functionally with diverse groups of students, faculty, and staff.
  • Must have good listening and customer service skills.
  • Highly organized and action-oriented with an ability to demonstrate problem-solving skills and attention to detail.
  • Proficient in Microsoft Office with advanced knowledge of Excel.
  • Understanding of email marketing, online surveying, and social media platforms as they are used in fundraising.
  • Ability to work individually and with project teams.
  • Must be invested in the College's mission and the work of institutional advancement to move the mission forward.

QUALIFICATION STANDARDS :

EDUCATION & EXPERIENCE :

Associate's or bachelor's degree is preferred oranycombination of education, training or experience that provides the required knowledge, skills, and ability to perform the job.

One to three years' experience with Raiser's Edge NXT or similar CRM and Online

engagement systems is preferred.

Experience in higher education or non-profit fundraising is preferred.

HOURS & CLASSIFICATION AND STATUS :

This is a regular status, full-time, 12-month, benefits-eligible, non-exempt position.

The regular hours of this position are Monday-Friday 8 : 00 am-5 : 00 pm.Hours may vary due to the needs of the College or department and may include some evenings and weekends.

Hourly rate range : $22-$24.50. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
