Essential Duties and Responsibilities :
Administrative
- Meet weekly with Construction and Regional Maintenance team to review Renovation program and all Capital and Deferred Maintenance Projects.
- Oversight of Regional activities to Bid, negotiate, and supervise vendors for the performance of routine maintenance and projects including turnover, landscaping, pools, and HVAC.
- Maintain Contracts within Region and ensure all vendors are properly onboarded and under contract for all trades.
- Monthly meetings with Regional Real Estate Managers to Review Service Initiatives, compliance concerns, and other areas of opportunity.
- Conduct quarterly property walks with Regional Service Team to ensure properties are being maintained to all AION standards.
- Recommend vendor selection process and support management of vendor relationships.
- Analyze existing condition at properties, helping in the preparation and maintenance of a rolling 5-year capital and major project expense plan.
- Administer all contracts and obtain necessary permits and licenses for work completed.
- Track and control project schedule while achieving completion under budgetary constraints.
- Recommend and monitor on-going property preventative maintenance programs throughout portfolio.
- Audit and evaluate turnover procedures recommending and ensuring consistency in materials, supplies, final product, vendors and cost reduction.
- Review compliance within systems for Leonardo, EFleet, Geotab, SecureCore, Realpage / Onesite.
- Assist with insurance claim reconstructions including bid process, collection of invoices.
- Coordinate and Oversee property Due Diligence Inspections.
- Develop Standard Operating Procedures for Regional Team and Site Teams.
- Coordinate Monthly trainings for Maintenance and Regional Teams. Assist with oversite and development of Maintenance Training programs.
- Anticipate and recommend capital improvement projects for properties.
- Work with Regional and Site teams to gather bids for annual Service contracts and budgets each year prior to budget preparation.
- Ensure compliance with safety policy and procedure manual and that all team members are using programs, systems, and protective equipment available.
- Respond to Day-to-Day calls from Regional Service team to assist with day to day site operations.
- Perform other duties as required.
Personnel Development
- Interview and assess candidates for Regional Service Director Positions and Area Service Directors.
- Determine the training needs of Regional Service personnel, scheduling, or performing the necessary training.
- Coach and mentor Regional Service Directors, performing assessments as requested or on an annual basis.
Requirements :
- High school diploma or equivalent
- CFC Certification Type 2 or Greater
- EPA Proctor License
- Valid Driver’s License
- 5-6 years’ experience in maintenance and construction and repair for apartment communities; Minimum 5 years supervisory experience.
Minimum 5 Years Regional Maintenance Experience.
- Proficient in word processing, Excel and Property Management Software systems.
- Ability to walk the grounds and apartments, ascend stairs around the property, lift 60 lbs., climb ladders over 10 feet, and perform other general physical activities such as bending, kneeling, pushing.
- Strong English written and verbal communication skills.
- Excellent knowledge of all maintenance aspects in an apartment community and building sciences and ability to complete the service assessment up to the standards of a Regional Service Manager.
- Availability by phone for after-hours emergencies as needed and in person within 24 hours.
- Availability to travel as needed with 24 hours of notice.
