Job Description

The Department of Psychology seeks a talented and experienced candidate for a Research Advancement Administrator Senior role.

This position is integral to our dynamic Research Advancement team, where you will work with our faculty, research staff, and students to support and facilitate sponsored research management.

We are a collaborative team of highly productive and creative individuals, and we are looking for someone who shares our passion for sponsored management and is ready to actively contribute to the growth of our research enterprise.

As the Research Advancement Administrator Senior, you will be responsible for various post-award-sponsored project management duties.

These include providing researchers with guidance on sponsor and University policies and procedures, preparing and submitting required reports, processing post award internal and external requests, procurement contracting, and reviewing and processing purchases.

You will also work closely with Principal Investigators and staff on planning and forecasting and participate in additional financial and administrative meetings and projects as needed.

Working Environment

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting.
  • Visual acuity and manual dexterity are necessary for daily use of desktop computers, and activities such as bending, stooping, reaching, and lifting to 20 pounds.
  • Ability to communicate to perform essential duties.
  • Requires the ability to work both independently and within a complex structured team.
  • Normally, no instructions are received on routine work or new assignments with a completed task review.
  • Requires exercise of judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.

Minimum Qualifications

Bachelor's degree in a related field. Five years of experience in a field appropriate to the area / unit of assignment OR Any equivalent combination of education and / or experience from which comparable knowledge, skill and abilities have been achieved.

Desired Qualifications

This is a senior RAA position under the managerial direction of the Research Advancement Manager, and applicants should :

  • Be team-oriented;
  • Be able to effectively respond to complex situations involving numerous and sometimes competing university constituencies.
  • Use critical thinking and problem-solving skills.
  • Have experience in Workday or similar financial systems
  • Have advanced experience using Excel, including using and developing budgeting sheets and creating pivot tables / use for analytics.
  • Have knowledge regarding post award management of Federal (such as NIH and NSF) and non-Federal awards.
  • Understand Cost Accounting Standards, Combined Circulars, Federal Wide Research Terms and Conditions, and Prior Approval Matrix.
  • Demonstrate experience with detailed reporting to sponsors.
  • Have experience communicating with sponsor contacts across Federal and non-Federal entities.
  • Have experience managing multiple awards / accounts from various funders and at more significant funded amounts.
  • Have experience using sponsor grant management systems like NIH's ERA Commons, NSF's Research.gov, Grants.gov, eCivis, Grant Solutions, and others like this.
  • Be able to utilize cross-unit solid knowledge and understanding to overcome issues and achieveresults.
  • Be well-organized and able to develop schedules and action plans to meet project and / or team goals.
  • Demonstrate evidence of solid and collegial interpersonal skills and an ability to communicateeffectively in person, writing, and by phone;
  • Have skills in establishing and maintaining effective professional working relationships
  • Be able to prepare detailed documents, proposals, reports, and / or related materials.
  • Be able to guide personnel in department policy and practice.

Essential Duties

  • Manage awarded (post award) sponsored projects by University and sponsor regulations.
  • Work to ensure audit compliance of unit's sponsored projects to federal, state, sponsor, University, and ABOR policies.
  • Assist researchers with post-award management duties, which include mandatory technical and financial reporting to sponsors,
  • Project account reconciliation, expense forecasting, and regularly meeting and coordinating with principal investigators and staff.
  • Processing of award changes, such as at-risk requests, nocost extensions, budget of funds, and other sponsor prior approval requests.
  • Assist researchers with financial transaction management duties, including working with unit staff to process reimbursement payments, preparing purchase orders and invoices, and reviewing and approving purchasing card expenses, travel requests, and expense reports.
  • Review, budget, and monitor effort and employment / salaries on sponsored projects.
  • Monitor compliance issues and assist in resolution
  • Work closely with ASU's central Awards Management Team (AMT) regarding award setup, modifications, invoicing, and closeouts.
  • Ensure ongoing compliance with all applicable regulatory and financial compliance requirements for awards
  • Subaward invoicing review
  • Award modification processes, both internal and external.
  • Participate in unit staff meetings and other activities related to Research Advancement administration.
  • Collaborate with the unit Business team, the Office of Research and Sponsored Projects, and other units and business offices internally and externally.
  • May work on special projects as directed by the unit's Research Advancement Manager.
