As an Admin Services Associate , you will be responsible for ensuring the smooth operation of multiple functions within the Business Services / Mail Services department.
This role is responsible for mail sorting & distribution within home office building campuses, physical and clerical tasks associated with shipping, receiving, and warehouse inventory control.
In addition, you will operate company vehicles and forklifts, print daily files, perform conference room furniture changeouts, and load / unload shipment vehicles each day.
Will require the ability to use shipping & receiving software including mailing equipment. Department hours of operation are 5 : 30 am to 4 : 30pm daily and all positions are subject to a change in hours, location, job duties, and overtime (including holidays) with little or no notice.
4 x 10 work schedules are available with this role.
This position is based out of our corporate office in Bloomington, IL five days per week.
How does an Admin Services Associate make an impact?
- Picks up, sorts and distributes mail across office locations. Prepares outgoing mail, weighing, calculating postage and posting letters and parcels, following processes for recording and allocating postage charges.
- Performs physical and clerical tasks associated with shipping and receiving warehouse inventory, ensuring inventories are secure, properly identified and readily accessible to authorized personnel.
Fulfills internal stationery and office supply orders.
- Operates company vehicles to ensure the timely delivery of mail, supplies, and other items as needed, including items requiring special handling.
- Operates forklift in challenging warehouse environment including warehouse racking, loading dock, and loading / unloading vehicles.
- Operates mail / office / warehouse equipment and shipping systems / software for researching shipping costs / methods and ensuring proper tracking of mailings / packages.
- Engages business partners and / or vendors to enrich client experience and improve corporate efficiencies.
- Addresses and resolves issues in a timely manner. Makes recommendations for process improvements.
- Regularlyinteracts and collaborates with internal and external contacts.
- Provides various office and location support to maintain daily operational capabilities of physical facilities. Tasks vary by location but may include coordinating or assisting with events;
- room set up for meetings; small furniture repair or other light maintenance; assisting with office moves; installing sit-stand desks;
serving as point of contact with landlord and local vendors; and / or reporting maintenance and facilities issues to management.

- Good communication skills and the ability to interact professionally with internal contacts.
- Able to switch tasks & priorities on short notice, with limited direction.
- Must possess a valid license to drive
- Past use of Microsoft Office products and / or shipping software(s)
- This job operates in warehouse and professional office environments; routinely uses standard office equipment and technology.
- Must possess a valid license to drive between office locations and / or within the local community to perform essential functions.
- Home office employees are preferred to have or obtain : A class C driver's license for driving company box trucks (requires a DOT physical).
A forklift operator's license.
- Frequently required to stand, walk, sitand stoop, reach overhead, bend, kneel or crouch and ascend / descend a ladder or stairs.
- Ability to safely operate a motor vehicle, company truck and / or forklift to perform job responsibilities.
- May be exposed to seasonal extreme temperatures.
- Regularly pushes / pulls / moves supplies using hand truck, pallet jack, and / or forklift when loading / unloading shipments.
- Regularly lifts up to 75 pounds. May occasionally lift more weight; however, team lifting is encouraged, and equipment is available to assist.
- Work may extend beyond normal business hours as business needs dictate. Shifts vary and may include early morning, daytime, evening, weekend and / or holiday hours.
- This is an intermediate level support role, which typically requires 1+ years of relevant experience.
This position is part of a job family. Placement will be determined by skills and qualifications of the candidate.
