As a member of a dynamic team, the Administrative Project Manager plays an integral role in ensuring the success of the Facilities & Campus Operations department.

The Administrative Manager reports to the Associate Operations Director but works across multiple teams to support projects that may span the entire department.

The Administrative Project Manager’s role involves leading and managing department-wide administrative projects, creating and maintaining process documentation, developing communications and presentations, and overseeing our intranet platform.

This role requires exceptional attention to detail, organization, and strong communication skills. The individual in this position must be a self-starter who can work both independently and collaboratively.

Responsibilities

Responsibilities and essential job functions include but are not limited to the following :

  • Manage Department-Wide Administrative Projects
  • Manage and / or coordinate department administrative projects, ensuring timely and effective completion.
  • Develop project plans, set deadlines, assign responsibilities, and monitor progress.
  • Collaborate with department directors and team members to identify project needs and resource requirements.
  • Communications & Presentations
  • Develop, prepare, and edit a wide range of communication materials, including presentations, reports, briefing documents, and executive summaries.
  • Coordinate and manage internal communications to ensure consistent and clear messaging.
  • Responsible for the creation and distribution of departmental newsletters, including content and design.
  • Oversee Department Intranet Platform
  • Oversee the department’s intranet platform, ensuring it is up to date with relevant information and resources.
  • Collaborate with team leads to ensure pages follow Fred Hutch style guidelines.
  • Monitor engagement and feedback to continuously improve the effectiveness of communications.
  • Process Documentation
  • Create, update, and maintain comprehensive process documentation for various departmental functions and workflows.
  • Ensure documentation is clear, accurate, and accessible to relevant stakeholders.
  • Regularly review and revise processes to enhance efficiency and effectiveness.
  • Other Duties as Assigned

Qualifications

MINIMUM QUALIFICATIONS :

  • Bachelor’s degree or equivalent years of experience.
  • Minimum of 5 years of experience in project management, administrative support, or a related field.
  • Excellent verbal and written communication skills.
  • Strong supervisory skills and budgeting experience.
  • Grant and contract experience.

PREFERRED QUALIFICATIONS :

  • Outstanding organizational skills, attention to detail, and time management.
  • Ability to work independently and with limited oversight.
  • Demonstrated ability to work as an effective member of an interdisciplinary team.
  • Planning and project management experience.
  • Demonstrated ability to deliver outcomes in fast paced environments.
  • Demonstrated skills in critical thinking and problem solving.
  • Ability to process complex documents and extract key information.
  • Excellent interpersonal skills and ability to build positive and professional working relationships with internal and external stakeholders.
  • Effectively able to communicate and demonstrate accountability in a remote setting.
  • Excellent computer literacy skills, including but not limited to Microsoft Office.
  • Previous experience in working in facilities management, design and construction, or real estate related areas.
  • Previous experience with Smartsheet.

The annual base salary range for this position is from $72,946 to $109,408, and pay offered will be based on experience and qualifications.
