Job Responsibilities
- Manages the administrative needs of the Senior Executives and direct reports.
- Exercises discretion and independent judgment in assisting Senior Executives
- Works under limited direction, determines and develops approach to solutions.
- Consistently works on complex assignments requiring action and a high degree or initiative to resolve issues.
- Acts independently to determine methods and procedures on new assignments.
- Provides resolutions to an adverse range of complex problems.
- Read outgoing correspondence for executive approval and alert writers to any conflicts or departure from policies or the executive’s viewpoint.
- Interpret requests and help implement action, deciding whether executive should be notified of important, or emergency matters Interpret and adapt guidelines, including unwritten policies, precedents, and practices.
- Prepare special reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources.
- Give recommendations and feedback to improve the administrative process.
- Issue and interpret operating policies.
- Assist executive administrative details, often of a confidential nature.
- Coordinate preparation of reports such as budget expenditures, statistical reports, or performance measures
- Calendar management and meeting planning and coordination
- Coordinates travel arrangements, expense report processing and reimbursement
- Perform administrative functions such as composing correspondence, scheduling appointments, etc.
- Interface with other executives internal / external to organization at the request of the Senior Executives
- Support, communicate, reinforce and defend the mission, values and culture of the organization.
- Contact or respond to contacts from high-ranking individuals inside or outside the corporation May involve unique situations where each contact must be handled differently, using judgment and discretion.
- Special projects as assigned.
- Ability to interact effectively at all levels and across diverse cultures.
- Performs other duties as required.
Qualifications
- An Associate’s degree in related discipline (or equivalent experience) plus 10 years’ experience in progressively responsible and varied office management
- Excellent writing and interpersonal communication skills
- Demonstrated ability to make independent judgment.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Expert skills with Microsoft Word, Excel and PowerPoint
