This position is in an Academic Service Unit (ASU), which houses staff and managers who provide administrative, strategic, and operations support to multiple academic departments in CAS.

This position is in ASU3, which works with Arabic Studies, Classics, Comparative Literature, English Department (includes Disability Studies, Comic & Cartoon Studies, WSCR (Writing, Public Speaking, and Critical Reasoning), and Digital Humanities) & Composition Program, Folklore & Public Culture Program, Humanities, Medieval Studies, Philosophy (includes Ethics Minor), Politics Culture and Identity, and Religious Studies.

Position Summary

The Undergraduate Program Coordinator supports undergraduate students within the assigned Academic Support Unit (ASU) and assists the Academic Programs Manager in administrative tasks and special projects, developing in-depth knowledge and expertise to consistently coordinate and administer undergraduate program operations, course schedules, and special projects in assigned areas.

This position is a primary, day-to-day point of contact for undergraduate majors and minors, responsible for independently communicating with individuals and groups at all levels of the university to research and interpret information.

This position oversees and coordinates administration of the undergraduate programs within the assigned ASU and provides support to other Undergraduate Program Coordinators within ASU 3.

In assigned areas, the position will provide guidance to students and faculty related to curriculum, application requirements, academic planning and scheduling, and special programs.

This position also assists the Academic Programs Manager and faculty with special projects as needed.

The position provides academic, programmatic, and operational support to programs in the ASU to augment the focused efforts of experiential learning and internships, to include internal and outward facing communications to multiple audiences, and day-to-day efforts to advance the short-term and long-term mission of the program(s) as assigned.

Special projects require independent research, analysis, review, and interpretation. The position may initiate and / or propose such projects and studies or be assigned projects from ASU 3 leadership.

This position has responsibility for undertaking projects from set-up through completion and has near-exclusive control of many projects.

Examples of projects include development and refinement of advising procedures, designing and publishing printed and online materials for recruitment purposes, and course schedule development.

This position reports directly to the Academic Program Manager and works on the Academic team within the ASU. Decisions likely to be made in this position include implementing departmental priorities, developing procedures, appropriately interpreting, and applying established policies and procedures, and recommending appropriate actions regarding confidential issues such as curricular exceptions, petitions, transfer course articulation, and graduation.

Minimum Requirements

  • Three years of office experience which included two years at full performance level and experience generating documents; and
  • Lead work responsibility or coordination of office procedures.

  • Exhibit a high level of interpersonal communication skills to handle sensitive and confidential situations with tact and diplomacy.

  • Skilled in Microsoft Office, Word, Excel, PowerPoint, and Outlook; ability to learn other specialized software.
  • Demonstrated ability and / or commitment to working with faculty, staff, and students from diverse backgrounds in support of an inclusive, welcoming environment.
  • Ability to work effectively under the pressure of deadlines and competing demands.
  • Adaptability in an environment of change.

Preferred Qualifications

  • Experience working in higher education.
  • Experience identifying, analyzing, and tracking large volumes of data / information on an ongoing basis while correcting identified discrepancies.
