Polyglass USA, Inc. , a premiere roofing materials manufacturer, has an opening for an Administrative Assistantlocated at our Deerfield Beach, FL facility.
We are seeking an Administrative Assistant to perform day-to-day supply chain tasks relating to raw materials for all Polyglass plants, as well as setting up and managing new vendors and the associated record keeping of all new supplier requests.
This position reports to the Procurement Manager and provides an interface with all departments as required and additional reporting to Director of Procurement & Supply Chain.
What You Get To Do :
- Responsible for setting up new suppliers
- Analyse the reasons why the new supplier set up was requested to ensure the necessary legal documents are requested from the new supplier
- Create a new folder with the potential new supplier in AS400 system
- Create a new folder to keep records of the new supplier requests for follow up purposes and status
- Set up all new suppliers with N30 payment terms or get authorization from Director of Finance for any exceptions
- Set up all suppliers for ACH method of payment
- Ensure supplier evaluation forms are reviewed, signed and saved on the Q drive
- Responsible for changes to existing suppliers and updating the Supplier info on the spreadsheet
- Save COI’s and W-9’s on the Q drive
- Answers phone calls and opens front door for visitors and deliveries
- Strong verbal and written communication skills and the ability to interact with plant managers, department managers, Director of Finance, suppliers, accounting team and others as required.
- Detail oriented with strong organizational skills and ability to multitask.
- Must be a team player with a positive attitude.
- Must be a self-starter and work independently with little supervision.
- Ability to use logic and reason in dealing with problems.
- Must have a high attention to detail and accuracy and exhibit good problem-solving skills.
- Performs other duties as required
Education / Qualifications We Look For :
- High School Diploma or GED required.
- Minimum 3 - 5 years previous accounting and / or bookkeeping experience is required
- Proficient in Microsoft Word, Excel, Outlook, and Power Point.
- Bonus : AS-400 or other enterprise-wide system experience.
