Scope
The Receptionist position sets the stage for the experience that Residents, guests, vendors, and staff will have during their stay.
The Receptionist is one of the gatekeepers of Academy University Hill and offers residents, visitors and guests a first impression of our community.
The primary objectives of this position are to pleasantly and accurately provide information, answer calls, accept deliveries, and take messages.
Receptionists regularly interface with Academy residents and provide important feedback to management. It is important for the Receptionist to respect the values and wisdom of the Residents, exhibit an understanding of the aging process, and foster Residents’ independence, dignity, and freedom of choice.
From time to time the Receptionist may be asked to perform other duties that will support the overall objectives and mission of the Academy.
These may include arranging meetings, maintaining event calendars, or conducting research.
Essential Responsibilities
- Greet visitors, residents, and staff and offer to direct them to meetings, common areas, or other parts of the community.
- Take accurate and thorough messages or route calls effectively.
- Make good decisions about appropriate transfer of information received at the reception desk.
- Assist in reminding residents of mealtimes or other appointments.
- Assist residents as needed.
- Open and close individual shifts accurately and efficiently according to checklist provided by supervisor.
- Keep the reception area, including the coffee bar, pleasant, comfortable, and neat.
- Assist residents and guests in use of coffee machine.
- Know how to use fax and copy machines.
- Maintain records and files, as requested by supervisor.
- Handle occasional light typing, filing, or data entry.
- Sort and arrange the delivery of Academy mail, packages, flowers, etc. to the appropriate location.
- Notify appropriate staff when leaving the reception area.
- Make occasional deliveries or purchases.
- Assist in routine mass mailings and other miscellaneous tasks.
- Take requests from residents and communicate to appropriate department.
- Assist the Community Life Director in making or taking calls related to events or activities.
General Responsibilities
- Ensure that resident rights are respected at all times, especially in matters of confidentiality.
- Help preserve the dignity and privacy of the Residents. Maintain confidentiality of resident records and information. Understand and follow the Residents’ Bill of Rights.
- Communicate and / or document important information regarding the residents, according to Academy procedures.
- Understand and follow security and emergency procedures at all times.
- Maintain good relationships with residents, owners, employees, and co-directors.
- Create and maintain a safe workplace. Report unsafe areas or situations to the appropriate director.
- Model congruence with Safety and Standards of Conduct portions of the Employee Handbook at all times.
- Relate to residents and staff in a courteous and respectful manner.
- Display honesty and integrity.
- Participate in job-related training.
- Attend scheduled meetings with supervisor.
- Greet all residents, visitors, and co-workers in a friendly manner.
Qualifications
- High school diploma.
- Stable and relevant work history.
- Sufficient computer skills to perform duties
- Previous experience working with the public helpful.
- Ability and willingness to work as a team.
- Ability to follow written and verbal instructions.
- Ability to communicate clearly and effectively.
- Sense of humor and perspective in the face of multiple demands.
- Demonstrated ability to maintain confidentiality and reliability on the job.
- Maintain a valid and current driver’s license.
Physical Requirements
The work environment described here is representative of what an employee might encounter while performing the essential functions of the job.
Position requires writing, filing, walking, climbing stairs, bending, squatting and pushing a wheelchair containing a 150 lb.
Resident as necessary. Ability to lift and carry 20 lbs. may be required.
