We are seeking an Office Administrator to support the Operations organizations in the Force Projection Sector (FPS), including the Sector Central Operations Group (KCS), the Program Financial & Operations Group (KCP), the Classified IT Infrastructure Group (KIT) and the IT Security & Customer Services Group (KIX).

You'll be joining a hardworking team of operations staff that strives to provide timely, reliable and valuable business, financial, procurement, information & data resources and IT operations support and expertise to our customers.

As a member of our team, you will collaborate across FPS and within the operations organization and play an active role in the overall success of the Sector.

As an Office Administrator ....

  • Your primary responsibility will be to provide administrative support to Group Supervisors, Assistant Group Supervisors, Section Supervisors and FPS Operations organization staff members by independently performing all routine administrative matters for the group, including but not limited to : ordering office supplies, processing P-card and employee expense reimbursements, and arranging travel.
  • You will manage the recruiting and interview processes for the FPS Operations groups, including routing candidate resumes for review, scheduling candidate phone screens, scheduling candidate interviews and providing weekly status updates to the Group Supervisors on all hiring activities.
  • You will assist in the logistics of all FPS Operations staff office moves, including working with the Sector Move Coordinator to schedule staff moves and ensuring that staff have a complete and fully functioning office set-up.

In addition, you will actively participate in the on-boarding activities for all new FPS Operations staff members.

You will serve as the FPS Wireless Coordinator and will process all new requests for wireless devices (iPhones, iPads, Aircards), activate international services when requested by FPS staff, compile reports on FPS wireless devices and usage and assist FPS staff with troubleshooting wireless device issues.

In addition, you will administer the telephone facility contracts for FPS field offices and leased facilities.

You will serve as the Group Property Associate for one or more of the FPS Operations groups, ensuring all property is current and accounted for on a regular basis.

You will process surplus property requests and assist in the Lab's required wall-to-wall inventory process.

  • You will assist in updating Sector operations-related information and reports, including updating and distributing weekly status reports and sending regular FPS Operations communications to the Sector.
  • You will serve as the Sector Timekeeping Coordinator, including performing a monthly review and audit of all FPS timesheet adjustments.
  • You will actively participate in operations initiatives and proactively seek opportunities to make the group and FPS more effective by identifying new / improved administrative procedures.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a high school diploma or equivalent
  • Have 5+ years of administrative office experience

Have a proven track record of strong communication skills with a customer-centric focus

Are proficient in Microsoft Excel

Are a self-starter who is able to independently prioritize tasks, exercise sound judgment and proactively resolve issues

Have a demonstrated ability to work effectively under pressure and can easily and quickly adapt to changing priorities.

Are able to obtain a Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education / training and skill level with consideration for internal parity.

For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked.

APL may offer bonuses or other forms of compensation per internal policy and / or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance.
