Position Summary
This position serves as the administrative support for the Department of Family and Community Medicine and its divisions.
The Office Manager is the delegated liaison between the department head, department faculty, residents, students, dean's office, and affiliated hospitals in the execution of the duties and responsibilities delegated by the department head.
This person will be responsible for maintaining, organizing, and conducting administrative functions directly related to day-to-day activities of the department, divisions and its faculty and academic professional members.
Duties & Responsibilities
- Support clinical faculty in the Department of Family and Community Medicine through collection and presentation of clinical or educational data, managing faculty searches, taking of meeting minutes, and travel assistance.
- Provide administrative support for the Department of Family and Community Medicine, including calendaring, scheduling meetings, preparing letters of recommendations, ensuring completion of mandatory annual trainings (RNUA, Ethics, HIPAA, Safety, etc.
and maintaining department faculty and academic professional files. Responsible for a variety of reports (research evaluation report, vacation / leave report, annual faculty evaluation reports) and using them for presentations.
- Supports the Division Directors by communicating with a wide range of customers, hospital CEOs, other academic institutions, and governmental and public health officials.
- Provide support for our STRETCH-OB residents, faculty and community preceptors. Communicate with outside hospitals and faculty to schedule resident rotations (currently these are arranged at least 6 months in advance), support meetings for STRETCH-OB.
- Initiates and coordinates faculty appointments and promotions. Monitors paperwork for timeliness, reviews material for completeness, resolves questions or missing data and then provides completed appointment / promotion packets to the department head for presentation at the departmental FAPT / executive committees.
- Special projects and other duties as assigned.
Qualifications :
Minimum Qualifications
- High school diploma or equivalent.
- Two (2) years (24 months) of work experience comparable to the third level of this series.
