Job Overview :

Working under the direction of the Vice President of Property Services and supporting the New England Region, the Property Services Coordinator is responsible for specific coordination and administrative responsibilities related to supporting market office operations and Property services.

The position is expected to work in the office at least 5 days per week. The position requires strong organizational skills, computer skills, and strong customer service orientation.

Your Responsibilities :

  • Property Services coordination duties (taking and making calls on daily maintenance duties) including managers, homeowners and technicians.
  • Utilize Kickserv or similar organizing software
  • Dispatch / Schedule property service technicians based on assigned work orders and scheduled visitations
  • Maintain property services maintenance records, work orders and other important information
  • Schedule vendor appointments as assigned by supervisor
  • Coordinate maintenance work with trustees and / or homeowners and maintenance team
  • Follow-up on satisfaction of maintenance work performed
  • Manage maintenance and office documentation digitally and / or physically
  • Greet visitors and assist in meeting needs or connecting to the right individuals
  • Log visitors and vendors on the property
  • Assist in planning and execution of events in the office
  • Lead office organization and cleanliness
  • Maintain office supply orders and inventory
  • Coordinate office equipment readiness (copiers, printers, hardware, etc.)
  • Assist with office mail related requests
  • Provide administrative support to the executive team by assisting in special projects and / or initiatives as needed

  • Strong Microsoft Office skills.
  • Ability to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships
  • Strong technical system skills

Physical Requirements :

Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 40 lbs following appropriate safety procedures.

This movement can occur throughout the day. You must also be able to climb several flights of stairs if necessary.

  • Must be able to sit and stand for extended periods of time.
  • Must be able to communicate both on the phone and in person with our clients to resolve issues and manage the business.
  • Must have finger dexterity for typing / using a keyboard.
  • Must be mobile enough to move around both the office, to make copies, send mail and faxes and to walk around the property.

This could include lengthy walks on uneven areas.

  • Talking and hearing occur continuously in communicating with guests, supervisors, and other associates.
  • Capable of working extended hours, including evenings, weekends and holidays as necessary.
  • Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. concerns.
  • Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties or unhappy customers

Compensation :

$20.00 - $22.00 per hour
