Job Description :
The Marketing Administrative Assistant will provide high-level administrative and secretarial support to the Chief Marketing Officers (CMOs) and assist the marketing department.
This role is ideal for someone who thrives in a fast-paced, high-visibility environment, coordinating meetings, managing calendars, and handling sensitive materials with discretion.
You will work closely with marketing leadership and support a variety of marketing initiatives, ensuring smooth day-to-day operations.
Key Responsibilities :
- Coordinate and manage the CMOs’ schedules, meetings, and travel arrangements.
- Serve as the first point of contact for the CMOs, handling correspondence, phone calls, and communications with internal and external stakeholders.
- Draft and edit correspondence, reports, presentations, and other documents.
- Organize logistics for departmental meetings, conferences, and special events.
- Maintain and update the marketing department’s calendar and documentation.
- Assist with administrative duties, including processing invoices, handling expense reports, and managing electronic and physical filing systems.
- Act as the out-of-office contact for functional directors, providing support as needed.
- Coordinate service awards and special events, along with regular anniversary acknowledgments for staff.
Qualifications : Required :
Required :
- High School diploma or equivalent.
- Minimum of 5 years of experience in an administrative or executive assistant role.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong organizational skills and attention to detail.
- Excellent grammar, punctuation, and proofreading skills.
Preferred :
- Bachelor's degree.
- Experience in a legal or marketing environment.
- Familiarity with Microsoft Visio and document management systems.
- Ability to type at least 55 words per minute.
Additional Details :
- Schedule : Full-time, 35-hour work week (Monday-Friday, 9am-5pm), with potential for overtime.
- Work Environment : Minimum of three days in the office per week, with flexibility. Wednesday is a mandatory in-office day for the marketing department.
