Global Corporate Real Estate Administrator-Carmel, IN (Hybrid)
Candidate will be required to work out of the Carmel Office 2-3 days a week. There is flexibility on what days they need to be in the office)
What You Will Do :
Lease Administration :
Prepare, review, and manage lease agreements and related documents.
Ensure all lease documentation is accurate and complete.
Maintain and update lease records and other critical documents in the database.
Review estoppels for accuracy upon request from landlords.
Manage translation of leases.
Compliance and Documentation :
Ensure compliance with lease terms and conditions.
Keep track of important lease dates, such as renewal and termination dates.
Manage and archive lease documents and related correspondence.
Financial Management :
Assist in the preparation and review of lease-related financial reports.
Work with Accounts Payable on lease payments, including rent, security deposits, and other fees.
Collect documents to set up new landlords as vendor.
Handle rent escalations, adjustments, and reconciliations as per lease terms.
Request purchase orders and approve miscellaneous invoices, as necessary.
Tenant Relations :
Address tenant concerns and issues related to their leases.
Coordinate move-in and move-out processes.
Assist with lease renewals and extensions as needed.
Reporting and Analysis :
Generate reports on lease status, occupancy rates, and other key metrics.
Analyze lease data to identify trends and opportunities for improvement.
Provide management with insights and recommendations based on lease data.
Coordination and Support :
Work closely with tenants, property managers, and landlords regarding lease-related inquiries.
Assist in marketing and promotional activities for leased properties.
Communicate lease terms and conditions to relevant parties.
Coordinate turning on / off utilities as needed.
Request Certificates of Insurance for new leases and upon renewal.
May require other miscellaneous tasks as needed to support the real estate team.
What You Need to Succeed :
HS Diploma / GED required. Bachelor’s Degree preferred.
2+ years of relevant work experience. Experience with lease and facilities management is a plus.
Solid understanding of the corporate and commercial real estate industry.
Maintain a high level of attention to detail, prioritization, and ability to multi-task in a fast-paced environment.
Team player with the ability to adapt to changing priorities and goals.
Excellent communication and follow-up skills.
Experience working with remote teams.
Experience with CoStar Real Estate Manager, Smartsheet, Windows, Microsoft Office (Outlook, Excel, PowerPoint) is preferred.
