Overview

The Program Coordinator II position assists the Director in development and coordination of the day-to-day operational and administrative functions of the Ecology Center, including the graduate degree programs in Ecology and in Climate Adaptation Science, which are offered through 6 departments in 3 colleges and currently enroll about 130 students.

The position serves as principal liaison between graduate students, faculty, staff, and Ecology-Center-affiliated departments and colleges.

They assist the Director with development, analysis, and implementation of the Center's strategic plan; coordinate and create reports for All-Hands and other stakeholder meetings.

Duties include but are not limited to management of the Ecology Center website; marketing / advertising of all Center programs;

management of fleet, research properties, working groups, seminar series, equipment, space use, keys, workshops, socials, and contacts.

Position is open until filled with screening beginning on 10 / 01 / 2024.

Responsibilities

Ecology Center Director Assistant (50%)

  • Organize Advisory Board and annual meetings
  • Create support documents, reports and presentations
  • Request annual performance appraisals for all Ecology Center-funded staff
  • Collect and analyze feedback on program activities and outcomes and recommend adaptations
  • Attend Research Council, Department Head or other leadership meetings when needed
  • Recommend strategies, analyze outcomes, and otherwise assist with strategic development, programs, grants, and fund-raising efforts.
  • Develop newsletters, reports, brochures, and other Ecology Center materials.
  • Maintain website and social media presence
  • Compile additional materials for website and other media.
  • Other duties as programs evolve

Graduate Program Coordinator and Alumni Outreach (25%)

  • Direct marketing and curriculum development and updates
  • Advise students on program requirements and provide student development opportunities
  • Manage alumni database and communication with alumni
  • Monitor, analyze outcomes, and contribute to adaptations of graduate programs
  • Coordinate annual research grants program.

Event Coordinator (15%)

  • Coordinate Ecology Center Seminar Series, including committee selection and training, speaker nomination and selection processes, and program logistics
  • Manage the Center's workshops, meetings, socials, and special projects
  • Other duties as programs evolve

Office Management (10%)

  • Supervise management of Center office, fleet, and equipment
  • Manage operations of Center research facilities (Green Canyon Ecology Station, Millville Aquatic Research Facility, and Bear Lake Laboratory)
  • Coordinate Center purchasing cards, office supplies, and equipment

Qualifications

Minimum Qualifications :

Bachelor's degree in a related field plus two years of relevant work experience; or a master’s degree in a related field;

or an equivalent combination of education plus experience

Preferred Qualifications :

  • Master's degree in a related field (ecology, biology, natural resources)
  • Familiarity with USU policies and programs
  • Experience in management of website and social media

Knowledge, Skills, and Abilities :

  • Good written and oral communication skills
  • Ability to interact with students, faculty, and / or staff to foster a sense of inclusion and positive team environment
  • Ability to work efficiently without immediate supervision
  • Ability to make administrative / procedural decisions and judgments
  • Ability to lead and train staff and / or students
  • Ability to gather and analyze statistical data and generate reports
  • Ability to coordinate and organize meetings and / or special events
  • Ability to exercise a high level of creativity, decision making, and problem solving
  • Skilled in organizing and establishing priorities
  • Working knowledge of computer programs, systems, and related software applications

Advertised Salary

Minimum $45,000; Commensurate with experience, plus excellent benefits

The environment and physical requirements may change depending on the specific function of the work each department performs.

Incumbents may be in both indoor and outdoor environments. Indoors, in an office space, event space, or public space are protected from weather conditions, but not necessarily from temperature changes.

Incumbents may nearly continuously sit and often use repetitive hand motion (such as typing).

Outdoors, incumbents may not be protected from weather conditions and may be exposed to extreme heat and extreme cold. Additionally, indoor or outdoor work environments may include being confined or in narrow spaces for periods of time.

The incumbent may also be exposed to loud noises or vibrations from equipment, and conditions that may affect the respiratory system, such as fumes, odors, dusts, mists, gases, and poor ventilation.

Bending, crawling, and crouching may be required. Incumbents may be required to lift, push, and / or pull objects up to 50 pounds and be required to walk and / or stand for long periods of time.
