    The Spa Manager assists the Spa Director in leading the staff to the highest level of customer service and manages daily operations.

    Position Title : Spa Manager

    Reports To : Spa Director

    FT / PT : Part-time

    Status : Non-exempt

    POSITION SUMMARY :

    The Spa Manager assists the Spa Director in leading the staff to the highest level of customer service and manages daily operations.

    This position is responsible for the daily organization and management of team members, guests, scheduling, inventory, and management software.

    The Spa Manager is responsible for working with the Spa Director in hiring, on-boarding, and training team members on all their job responsibilities and ensuring that the performance of their duties are held to the proper standards as set forth in the operations manual.

    The position is also responsible for conforming to and enabling the Woodhouse standards set forth in the Team Member Handbook and should strive each day to exceed guest expectations.

    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES :

    The Spa Manager is responsible for working with the Spa Director in managing employee and operations management, financial accountability, effectively communicating with others, developing relationships, and achieving corporate goals and objectives.

    Employee Management :

    • Regularly direct and supervise the work of spa employees in accordance with spa policies and directives.
    • Hire, train, develop, and in some cases terminate the employment of those supervised in accordance with company policies and directives.
    • Lead and perform timely performance evaluations of employees.
    • Responsible for implementation of all laws, regulations and policies regarding employment practices, safety rules and all other company policies and procedures
    • Oversee day-to-day Spa operations run smoothly and efficiently through a visible management presence and leadership.
    • Process, review, and submit payroll.
    • Coordinate all team-member schedules.
    • Must be relied upon to open and / or close the spa as required and step in as needed when team-members call-out.

    Operations Management :

    • Assist Spa Director and owner / managing partner in spa operations.
    • Maintain a regular presence at the spa facilities.
    • Ensure safety and security through monitoring of facilities, equipment, and operational systems including point of sale software.
    • Regular inspections of the Spa area to ensure a clean, organized, safe, and well-maintained facility, coordinate spa repairs and maintenance.
    • Manage spa operations including customer service, communication, marketing (digital + print), purchasing, supplying, staffing, training, staff development and supervision.
    • Coordinate all team members schedules and step-in as needed to ensure smooth operations.

    Financial Accountability :

    • Manage the financial performance of the spa through achievement of sales & revenue goals, expense management, proper planning, and forecasting.
    • Track, report, and analyze the details of financial operation.
    • Prepare and implement action plans to meet or exceed monthly financial goals.
    • Assist spa ownership in development of annual operating and capital budgets, as well as long term growth strategy.
    • Review applicable financial statements and reports.

    Communication & Relationships :

    • Effectively and professionally interacts and communicates with senior management, managers, other Associates, vendors, members, senior staff, and guests.
    • Promote harmonious relations among members, staff, vendors, and the community at-large.
    • Communicate timely and follow up, as appropriate.
    • Active participation in required events, required programs, required meetings, and required trainings.

    • Flexibility in work schedule, as job may require day and evening shifts, weekends, and holidays.

    QUALIFICATIONS AND SKILLS :

    • Policies and Regulations Ability to learn, understand and apply company polices and follow federal, state, and local laws, government regulations and agency rules that pertain to spa management.
    • Management of Personnel Resources Knowledge of principles and procedures for legally identifying the best people for the job, hiring, motivating, developing, and directing people as they work.
    • Management of Financial Resources Basic knowledge of economic and accounting principles and practices for creating a realistic budget, banking, understanding financial reports and the ability to use mathematics to solve problems.
    • Sales and Marketing Knowledge of principles and methods for showing, promoting, and selling services. This includes marketing strategy and tactics, and sales techniques.
    • Problem Anticipation / Deductive Reasoning Ability to tell when something is wrong or is likely to go wrong and then apply general rules to specific problems to produce answers that make sense.

    Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems and considers the relative costs and benefits of potential actions to choose the most appropriate one.

    • Written Comprehension and Expression Ability to read, understand and communicate information and ideas in writing so others will understand.
    • Oral Comprehension and Expression Ability to understand and communicate so others can understand ideas and information.
    • Computer Ability to develop and maintain computer records in MS Office programs such as Word, Excel, Outlook, and other software required by the Spa and regulatory agencies.

    Ability to utilize spa software programs like Meevo, Zenoti etc.

    PHYSICAL DEMANDS AND WORK ENVIRONMENT :

    • The position requires consistent in-person attendance on a daily basis.
    • The Spa Manager is required to multi-task regularly and to work efficiently in a fast-paced environment.
    • The position requires the employee to display a positive, professional image and attitude, work well with others both within and outside the spa.
    • The employee must be able to sit, read, write, type, and speak for extended periods of time. While performing the duties of this job, the employee is required to regularly stand, walk, reach, lift and carry objects up to 40 pounds, balance, stoop, kneel, crouch, talk, hear, and smell.
    • This position also requires the following abilities :

    o Ability to interact frequently and positively with others both in person, by email and by phone.

    o Ability to look at computer screen for extended periods.

    o Ability to concentrate and focus for extended periods of time.

    o Ability to meet deadlines.

    o Ability to handle stress.

    • Frequent workplace cleaning and disinfection of high-touch areas and / or equipment or tools to help reduce or minimize exposure to a hazards or disease transmission.
    • Employees are required to frequently wash hands and / or use hand sanitizers, to prevent transmission of viruses and disease.
