Responsible for providing a broad and vast range of administrative and clerical duties, functions, and tasks including support for attorney, paralegals, and legal administrative personnel including case management.
Prepares legal documents and correspondence and handles filings on behalf of attorneys. Schedules, updates, and maintains accurate calendaring for court appearances, and due dates of pleadings, depositions, hearings, and meetings.
Responds to various inquiries, requests and correspondence regarding meetings, cases, and court and regulatory proceedings.
Provides senior administrative support for attorneys, paralegals, and legal administrative personnel including case management.
Prepares correspondence, forms, templates, legal documents and e-filing on behalf of attorneys.
Ensures correspondence, forms, templates, legal documents and efilings are accurate and complete.
Reviews notices of meetings, hearings, depositions, interviews, settlements, and conferences for
consideration with attorneys.
Ensures notifications to attorneys, witnesses, and other interested / relevant parties are timely, accurate, clear, concise, and complete.
Monitors and reviews the calendars for court and regulatory agency / commission appearances, and due dates of pleadings, depositions, hearings, meetings, and resolves all scheduling issues.
Evaluates and develops recommendations regarding the transmission, extraction, conversion, and dissemination of information from various forms of communication.
Ensures the transmission of materials, correspondence, and communications to clients, witnesses, and federal, state, and local court officials and regulatory agencies / commissions are timely, accurate, clear, concise, and complete.
Responds and resolves escalated inquiries, requests and correspondence regarding meetings, hearings, cases, and court / regulatory proceedings.
May provide training, guidance, and instruction to lower job level legal secretaries and administrative clerks.
Maintains accurate files, including those of a confidential nature. Associate s (AA / AS) degree
Certificate of completion, coursework, or training from a university / college, vocational school, and / or extended learning within the areas of legal studies, office administration, or related field.
Professional Legal Secretary (PLS) certification
Certified Legal Secretary Specialist (CLSS). Four () years of experience as a Legal Secretary that includes litigation
Experience within a law firm organization or internal legal department
Ability to type words per minute. Experience with litigation practices and legal research, discovery, and evidence
Experience with federal, state, and local regulatory agency requirements for filings. Knowledge and understanding of legal practices and court proceedings
Knowledge and understanding of regulatory agency guidelines and requirements for filings
Ability to maintain client confidence and discretion by sustaining confidential attorney / client information
Ability to assess and provide recommendations and / or resolutions for projects
Ability to generate effective results and deliverables within dynamic, ambiguous and fast-paced environments
Organizational and interpersonal skills
Oral communication and legal writing skills
Proficiency with Microsoft Office applications (Word, Excel, Access, PowerPoint)
