Position Title : PAYROLL COORDINATOR
Position Summary : This position is responsible for the weekly preparation of payroll and oversight of labor and payroll approval.
Reports to : Finance Director
Personnel : Not applicable.
Accountabilities : Accountable for understanding and following all SOPs and WIs related to job duties while supporting 6S and Lean Manufacturing concepts.
Ensure that company payroll is completed timely and accurately within appropriate legal and company standards. Ensure compliance with generally accepted accounting procedures.
Duties :
Perform weekly payroll routine for processing direct deposit payments to all employees :
Review labor and payroll approval electronic records in the ERP interface system (Kebrite) for completion and accuracy.
Ensure overtime hour buckets are correct before final processing. Coordinate correction of issues or errors with appropriate Team Leader / Manager.
- Download labor hours from ERP interface (Kebrite) to payroll software (ADP).
- Balance the batches and transmit payroll to payroll for processing.
Ensure all payroll inputs are completed for weekly payroll processing :
- Ensure direct deposit and tax withholding for new hires is set up in the system properly
- Process PTO requests. Maintain / adjust employee PTO balances when necessary.
- Process garnishment orders and communicate with courts, child support agencies and other parties as appropriate.
- Verify employee qualification for holiday pay.
- Collaborate with Human Resources staff on benefit and other payroll deduction requirements.
Coordinate / execute additional tasks supporting the overall payroll function :
- Prepare manual checks as necessary.
- Work with payroll provider to maintain company setup.
- Execute month and year end processing activities.
- Recommend process improvements and develop new processes required.
- Support audit requirements as needed.
Ensure proper communications and customer service by :
- Respond to employee inquiries and resolve any payroll issues.
- Prepare weekly, monthly and annual reports.
Perform other accounting related duties as necessary / assigned :
- Provide assistance to and serve as back up for Accounts Payable Coordinator
- Perform general accounting duties as needed
Job Qualification Requirements :
Educational Experience - Associates degree in relevant field or comparable work experience with a minimum of a High School diploma.
Thorough knowledge in regulatory compliance requirements for payroll function is required.
Experience - Excellent computer literacy required. Strong math aptitude and organization skills. Must have strong attention to detail.
Critical thinking and problem solving ability is necessary.

Working Conditions - Normally works in an office environment. Very rarely, the employee may be subject to :
- shop floor environment
- high noise levels from operating machines
- physical hazards from moving equipment and production components
- breathing fumes, dust and mist
- skin exposure to oils and cutting fluids
- welding flashes.
The employee may be required to follow other job-related instructions and to perform other job-related duties as requested, subject to all applicable state and federal laws.
