Position Summary
The Shipping Specialist II plays an important role in the organization by performing a number of activities related to the company’s Shipping functions.
The role is responsible, under general to intermittent supervision, for ensuring timely shipment of service-released loan files and other supporting documents, and updating and logging all activity on internal systems.
Essential Functions
- Prepare loan shipment packages, e-shipments, and transfer letters / notices in accordance with instructions and guidelines.
- Receive hard and soft versions of loan files, save and copy documents as needed, and update systems with pertinent activity.
- Order documents, request corrections and / or missing documents to ensure compliance with investor requirements.
- Maintain compliant files and records and ensure files are completed with all required documentation.
- Receive and maintain records, including original signed 2nd Trust Deed Notes for Bond Program Community Assistance Programs, in secure fire-safe storage cabinet.
- Audit files to ensure HUD-1 reflects accurate information related to taxes, hazard insurance, impound and other specific investor requirements.
- Update systems with accurate shipping and suspense status.
- Provide suggestions to increase department accuracy and efficiency as applicable.
- Use expertise to answer questions from less experienced teammates.
- Resolve escalated issues that cannot be solved by more junior team members.
- Provide assistance with training new teammates.
- Work to distribute technical knowledge throughout team.
- Perform other duties as assigned.
Qualifications
- High school diploma or equivalent experience required, along with three or more years total work experience in roles related to loan shipping or loan funding.
- Ability to manage multiple priorities; strong detail orientation and highly organized.
- Works with a strong sense of urgency and responsiveness.
- Strong verbal and written communication skills.
- Prior experience using PDF software programs and Microsoft Word, Excel, and PowerPoint.
- Basic math skills.
Supervision
- General to intermittent supervision of work, depending on experience
- Moderate level of independent judgment and discretion used in decision-making; generally follows pre-defined processes and guidelines but escalates some complex issues for advice and resolution
