The Office of the University Registrar at West Virginia University is currently accepting applications for an Assistant Registrar for Academic Progress.

This position manages the maintenance and analysis of the degree audit reporting system (Degree Works) for degree programs offered at WVU and its divisional campuses at Potomac State College in Keyser, WV and West Virginia University Institute of Technology in Beckley, WV.

What You'll Do
- Oversees the development, implementation, testing, and continued support of the designated degree audit reporting system for the university.
- Serves as liaison to the colleges and departments on specific program requirements and alterations to these requirements.
- Serves as liaison between the OUR graduation unit and the Degree Auditing unit.
- Directs and executes the proper coding, updating, and modification of degree audit programs, data and information such as curriculum requirements, courses, policy changes, financial aid requirements, and course requirement exceptions based on curriculum changes approved by appropriate governance groups.
Researches new and revised information regarding degree requirements through the University catalog, academic departments, and the Faculty Senate, as needed.
- Verifies and assures the accuracy of data, information and requirements for the degree audit system.
- Devises and implements strategies to increase usage of the auditing system, which are crucial parts of increasing utilization of the functions and the system as a whole.
- Evaluates the exceptions management system and utilizes best practices to inform modifications to the systems and policies governing it.
- In concert with the Associate Registrar for Academic Services, the Assistant Registrar researches, develops, and leads the planning of new Degree Works feature enhancements and upgrades.
- Serves as liaison to the ITS Database Administrators to ensure adherence to technical specifications necessary for full functionality and optimal performance for the auditing system.
- Manages the support and assistance provided by the Degree Auditing unit to system users.
- Assists Financial Aid with ensuring degree pursuance compliance utilizing the system.
- Creates and maintains appropriate user roles and security permissions for degree audit system users.
- In concert with the Associate Registrar for Academic Services, the Assistant Registrar researches and implements marketing / strategic initiatives to highlight the degree audit system to faculty, staff, and students.
- Supervises three Degree Works analysts (Professional Technologists II).
- Performs other duties as assigned by the Associate Registrar for Academic Services.
Qualifications
- Bachelor’s degree required (preferably in the liberal arts, education, computer science, or related field).
- A minimum of two (2) years of experience involving : Academic and / or student services experience, preferably in a Registrar’s OfficeUtilizing a degree audit system (preferably Degree Works including writing Scribe code and configuring Controller).
Principles, practices and techniques used in the maintenance and analysis of technology.Utilizing a computerized records management system (preferably a student information system) or similar database management experience.
Communicating effectively both orally and in writing with diverse groups of constituents.
- A minimum of one (1) year of experience involving : Project development, management, and implementation.
- Knowledge of principles, practices, and techniques used in the development, maintenance and analysis of computer systems, programs, and applications.
- Ability to program, design, code and maintain degree audit system and functions such as tables, rules, degree exceptions, and curriculum requirements.
- Debug programs by preparing test data and testing system operations.
- Understanding of the relationship between degree audit system and Student Information System.
- Verify and assure accuracy of data, information, and requirements for degree audit programs.
- Data analysis for assessment of programs and system usage.
- Review, analyze and modify existing programs as necessary.
- Ability to analyze current processes and devise innovative solutions.
- Record-keeping and report preparation techniques.
- Knowledge of relational databases for reporting purposes.
Preferred Qualifications :
- Master’s degree.
