Executive Assistant and Event Planning
The role is primarily responsible for providing executive support to the Meketa Capital CEO and the Meketa Capital business development team, including word-processing, material production, and coordinating and maintaining company files.
The role is also responsible for coordinating calendars, arranging conference and video calls, and reviewing and monitoring the company events calendar.
As part of this role, you will be responsible for coordinating client events, including negotiating with vendors, coordinating travel and cost controls related to business travel.
The role reports to Meketa Capital's CEO.
Responsibilities and Duties :
- Plan and manage various investor, client and Board events throughout the year
- Liaison with the Meketa Capital and Primark / Meketa Fund Board of Directors
- Manage the Meketa Capital CEO's busy calendar and schedule
- Accurately and proactively maintain calendar and contact information in CRM (calendar / contact management database)
- Arrange extensive travel plans, including schedule coordination and detailed itinerary preparation. Recommend the most cost-effective itineraries
- Complete expense reporting for the Meketa Capital CEO and provide secondary support to other members of the Business Development team to the extent time permits
- Prepare client / prospect-ready reports and correspondence, including editing, printing, binding, and distributing client materials
- Ensure timely material delivery for clients / prospects by managing deadlines
- Prepare and produce materials and presentations for executive meetings
- Provide support for scheduling and attending meetings, formatting and distributing agendas and meeting materials, taking and distributing notes
- Coordinating in-house meetings, including meeting set-up
- Work with other members of the Meketa administrative staff to establish and communicate broadly uniform administrative procedures and practices
- Identify opportunities to provide additional support in alignment with organizational needs
- This role may be remote for the appropriately qualified candidate.
- Travel as required
Qualifications and Skills :
- Proven knowledge and facility with Microsoft Office software, especially Word, PowerPoint and Excel
- Strong interpersonal and organizational skills
- Professional telephone manner and the ability to interact with visitors
- Excellent attention to detail, especially in message taking
- Ability to work accurately in a detailed and time-sensitive environment
- Work well with employees from other company departments
- Ability to learn and understand the different facets of our business
- Minimum of 5-10 years of executive administrative experience in a corporate setting

- Accuracy and timeliness of client report production, correspondence, and phone messages
- Degree of professionalism in communications with clients and others
- Responsiveness to requests for executive support, including requests for word-processing and report production assistance
- Improvements in quality and efficiency of work product

Pay Range : $80,000 - $85,000 per year
