Administrative Support Coordinator II
Theatre and Dance
Salary Range : $3,865 - $6,336 / Monthly (Budgeted Hiring Salary Range $3,865 - $4,482 / Monthly)
Work Schedule : Full-Time, Monday Friday, 9 : 00 . to 6 : 00 .; temporary appointment, expires on or before one-year from date of hire;
may be extended, may become permanent; non-exempt classification.
Essential Functions : Under the general direction of the Department Chair, the incumbent is responsible for managing the administrative operations and functions of the department's office.
The incumbent must have general knowledge of all department functions, including those assigned to other support staff members.
The incumbent works closely with the Department Chair on faculty personnel matters. The incumbent is responsible for maintaining effective methods to track faculty Retention, Tenure and Promotion (RTP) evaluation process for full-time and part-time faculty.
The incumbent is also responsible for the instructional programming, including building and maintaining course schedules on the campus network system, monitoring class enrollments, providing data for the Academic Planning Database (APDB) report, and coordinating and tracking the submission and progress of curricular forms and proposals.
- Duties also include procurement of supplies, equipment and services, including guest lecturers, special consultants and independent contractors;
- tracking, monitoring, and reconciling of budget and expenditures for General Fund, Instruction Related Activity (IRA) Funds, and Trust accounts;
- tracking and submitting paperwork for faculty travel and use / balance of professional development funds; tracking and recording faculty and staff absences and student worked hours;
supporting the preparation of appointments of part-time faculty, teaching associates, and graduate assistants. The incumbent participates in the evaluation of all internal department functions and provides recommendations to improve.
The incumbent maintains records of part-time lecturer teaching history and unit entitlements; administrative support to Departmental elections and maintains committee membership lists;
prepares agenda, minutes, and other documents for department meetings; assists with department special events and projects, including a robust theatre production program.
The incumbent upholds adherence to policies, procedures and established practices of the department, the college, campus, CSU system, and collective bargaining agreements;
serves as resource person for department employees in matters related to personnel, fiscal, curricular, and facilities. The incumbent coordinates and is accountable for the work results of the department Administrative Support Assistant (if applicable), and coordinates with Performing Arts staff.
The incumbent is responsible for the protocols and procedures for scheduling production in the theatres and studios, including work order requests for additional engineering and custodial requests due to public facing activities.
The incumbent works directly with campus entities in preparation for campus performances.
Required Qualifications & Experience : Equivalent to four years of general office experience which includes operational or procedural administrative support work performed and / or on-going work coordination and / or lead responsibilities with notable accountability for the work results of support staff or unit administrative function.
- The incumbent must have experience to be fully functional in all technical aspects of work assignments. The incumbent must have excellent verbal and written communication skills;
- and thorough analytical skills. The incumbent must have thorough and demonstrable knowledge of office productivity software, including word processing, desktop publishing, spreadsheet, and database functions;
English grammar, punctuation, and spelling; and of budget policies and procedures and track financial data and make simple projections.
- The incumbent must have the ability to work effectively on an individual basis, as a member of a highly functional team and with a broad range of people to help promote a student-centered environment;
- be detail oriented and can handle multiple work unit priorities and projects; independently apply a wide variety of policies and procedures where specific guidelines may not exist;
- judgment, discretion, and initiative to address problems and respond to all inquiries and requests related to the work area as well as the ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions;
- draft and compose correspondence and standard reports; take minutes and track action items; respond effectively to rapidly changing conditions;
and to effectively handle a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
The incumbent must have a demonstrated interest and / or ability to work in a multicultural / multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University.

Desired Qualifications : Bachelor's degree from an accredited four-year college or university. Familiarity with university administrative processes and procedures pertaining to an academic department;
and with theatre and dance production.
