JOB SUMMARY
Administrative Assistant is responsible for operating a multiple line telephone and relays incoming, outgoing and inter-office calls and performs miscellaneous departmental communications and clerical duties.
This position also develops and implements office clerical procedures, completes assigned special projects, typing, filing, preparing reports, transcribing dictation, ordering supplies, and sorting mail.
May involve public relations and liaison with outside agencies and requires discretion, good judgment and communication skills.

- Aids in general management of center including running errands as assigned.
- Completes all assigned duties within the time frame and according to the standards as established by the Program Manager.
- Displays regular and reliable attendance. Reports to and departs from work on time, as schedule, and accurately reflects all time on the timecard.
- Complies with all TURN and program rules, policies and procedures including HIPPA standards.
- Demonstrates commitment to professional growth by attending in-service training and staff development programs and seeking out supervision when needed.
- Demonstrates adequate care and responsibility for equipment. Reports and / or repairs missing or damaged equipment and supplies.
- Ensures facilities upkeep and safety by maintaining neat and clean work areas, by securing work area at close of business day, and by reporting vandalism, theft, or suspicion of drug abuse by coworkers to supervisor as soon as possible.
- Familiar with and understands TURN Personnel Policy manual and follows all established personnel policies.
- Responsible for the overall efficient and effective operation of the program.
- Complete accurate and timely documentation, meet minimum billable requirements for direct client services.
- Participates in regularly scheduled staff meetings.
- Participates in the Injury and Illness Prevention Program and follows guidelines that promote workplace safety.
- Provides input towards policy and procedure design, revision, and deletion.
- Shift coverage including part of the on-call team.
- Processes and prepares business and government forms.
- Oversees billing and cost reconciliations processes and prepares monthly report for Program Manager review.
- Logs receipt of incoming checks and / or cash. Deposits in appropriate account through designated channels.
- Maintain confidentiality of client’s care.
- Participate in scheduled program meetings.
- Other relevant duties as assigned.
QUALIFICATIONS
- High school diploma or GED equivalent.
- Two years of full-time administrative / secretarial experience.
- Valid CA driver’s license and current auto insurance per contract requirements required.
- Experience providing mental health and / or substance use disorder services preferred.
- Cultural competency understanding required.
- Bilingual preferred.
- Knowledge of Microsoft Office and EHR software preferred.
