This position interfaces between payroll processing operations, payroll compliance, tax operations and Finance, establishing controls that will produce high-quality information exchange, ensure accurate reporting and minimizing exposure, and ensure the business is NACHA compliant and adheres to Money Transmitter rules in registered States.
Daily, Monthly, and Quarterly Duties
- Determine and process daily client tax payments Including ACH Credit & Debit, EFTPS, Vendor payments, and Checks. Includes the creation of check positive pay files.
- Verify and approve of ACH positive pay files in online bank system. Review any Check exceptions with bank.
- Pull NOC rejections from online banking system, review, and distribute to operations team for client follow up.
- Analyze, select, and process all client payroll files and transmit securely to bank.
- Identify insufficient fund transactions and follow through on resolution with client. Communicate with Finance on any uncollectable items;
keep up to date daily reporting for Management Team to assess unresolved cases.
- Co-ordinate and complete payroll corrections reported by Payroll Analyst including necessary additional impounds or refunds to clients.
- Act as Facilitator between Payroll Analyst and Citizens Bank team on any items related to Direct Deposit payouts, payment proofs, and explanations of cash transactions to customer bank accounts.
- Complete timely and accurate monthly tax filing to all state and local jurisdictions.
- Ensure all quarterly and annual tax filing deadlines are met as assigned by Banking & Tax Manager.
- Quarterly review, approval, and process of tax adjustments for all Tax Analysts.
- Timely follow up, resolution, and communication to clients on all tax notices.
- Weekly touch point with Finance on bank reconciliations, stale check reporting, and internal money transfers.
- Assist in internal and external audits as required by Banking & Tax Manager.
