The Program Assistant will be responsible for the routine management of the Student Support Services TRIO program office, student files, and the program database.
They will supervise work-study students, assist students in completing necessary forms for entry into the SSS program, maintain an inventory of office supplies and equipment, and assist the SSS staff with organizing materials for various service.
This is a grant funded position through August 31, 2025.
MAJOR RESPONSIBILITIES
Customer Service Overriding Expectation
- Demonstrate a strong customer service and / or student advocacy through a positive attitude of approachability, adaptability, strong problem-solving and desire to identify and support student success
- Engage in behaviors that create an inclusive environment in which all people are valued and supported
- Go beyond the easiest or surface answer for a student and get to the root cause of the problem, question, or issue to solve it as quickly and professionally as possible
Receptionist Desk
- Greet students, answer phones, operate office equipment, and provide clerical support to SSS staff
- Utilize a pro-active approach to answering student questions and identifying student needs
Leadership / Planning
- Participate in TRIO staff meetings and record meeting minutes
- Assist staff with event planning
- Coordinate tutoring lab attendance sheets and appointment reminder calls
- Help to identify and solve tutoring lab concerns
Administrative Support / Information Management
- Manage participant record filing systems
- Assist staff members with paperwork completion (i.e., travel and student event forms)
- Assist staff with special projects as needed
- Participate in professional training necessary to carry out duties
- Assist staff with identifying new program participants
- Assist staff with the completion and submission of annual project performance report
Technical Support
- Manage program database and electronic records
- Assist staff with participant and program data collection
- Coordinate purchases of program supplies via statewide purchasing system.
- Work as a team member within the Academic Advancement division to improve services to, and retention of students

MINIMUM QUALIFICATIONS
- High School Diploma or GED required demonstrated office management skills required
- Excellent interpersonal, grammatical, and data entry skills
- Familiarity with computer applications and proficiency with Microsoft Office and database software (specifically Access)
- Two years of experience in a college or academic setting with at least one year working with underrepresented students required
- Experience working with diverse student populations
- Ability to maintain confidentiality of student profiles and records
- Ability to work well in a team environment as well as on own initiative
PREFERRED QUALIFICATIONS
Associate degree in Office Administration or related field
