Description
PURPOSE :
Individual Contributor who manages and executes the administrative functions in support of the Regional Manager-In-Training, Regional Manager, Regional AVP, and / or Regional VP and total Region.
Supports the RM by creating and compiling reports, identifying opportunities, and following up on key business indicators as needed.
Actively control costs while achieving maximum profits through effective travel management and other field related expenses.
Manage Regional meeting logistics. Services as the front line of contact to District Managers and Customers within the region.
RESPONSIBILITIES :
- Specific Responsibilities : Multiple calendar management and extensive scheduling requirements; Gather, create, compile, and maintain data;
- Manage Region budget and actively seek ways to control costs; Complete monthly expense reports and approve on behalf of Regional Leader;
Manage travel and store visits, communicate effectively to Field Partners and HO partners; Manage all Event Planning; Manage new hire onboarding calendar, technology and supporting tools.
- Establishes a trusting relationship with the Regional Leader
- Assists Regional Leader in analyzing Company, Region, and District financial data to support leader in action plans to promote business growth.
- Pulls critical store reporting and highlights trends for Regional Leader.
- Exercises independent discretion and judgment to solve complex problems internally and provide customer experience resolution support.
- Supports the Regional Leader with all day-to-day functions, including calendar planning, forecasting, travel arrangements, expense reconciliation, candidate interviews, meeting preparation and budgets.
- Drives operational excellence of Region by improving project execution efficiencies, supporting business initiatives and customized Regional strategies.
- Responsible for region planning, logistics, production, and travel arrangements for all region events and meetings
- Manages new District Manager onboarding (new hire communication, completion of new hire paperwork, creating on-boarding calendar, reporting setup, identify office space, order equipment / supplies and corporate and discount cards, vehicle lease, calendar planning, .
Manages compliance with all DM onboarding requirements and policy / procedure adherence.
- Supports new real estate and special project work inside the Region.
- Coordinates new Regional Leader / RMIT onboarding.
- Partners with District Managers by providing technology training and assistance with execution of projects to drive compliance on company initiatives.
- Manages and influences compliance of regional human resource activities (., management employee files, store complement, Annual Compensation / Performance Review, Technology, Organizational Leadership Review, .
- Builds strong partnership with Region, Business Partners, and Home Office partners to help support and execute solution-oriented actions.
- Serves as a front-line communication liaison and troubleshooter for the District Managers in the Region to seek immediate resolutions.
Provides feedback and best practices to business partners, both in the Field and Home Office.
- Partners with home office to organize EVP and jet trips with Regional Leader and business partners and completes store visit agenda.
- Assist with onboarding / training / supporting new regional assistants.
- Collaborator to DMs.
- Follow up on Regional Leader and District Manager task management to ensure all timelines are met.
- Full scope management of Regional Leader emails and inbox.
- Demonstrate ability to multitask and prioritize.

AUTHORITY :
- Provides direction to District and Stores Managers and collaborates with Regional Leader to improve overall regional operations.
- Manages and signs contracts for hotels and meeting venues.
- Manages Regional office space. Communicates with building management / maintenance as needed.
- Manages Regional office moves. Scouts for office space adhering to company criteria, partners with home office to finalize lease, coordinates move, packs, and unpacks office.
- Approves expense reports as needed.
- Manages office supplies.
- Manages confidential information and applies discretion.
Minimum Salary : $24.30
Maximum Salary : $31.76

Qualifications
- Bachelor’s degree preferred.
- Minimum of 5-7 years administrative / support experience in retail environment supporting an Executive position or 2+ years retail experience at a management level.
- Strong computer skills with emphasis on MS Windows, Outlook, Excel, Word and Power Point.
- Exceptional organizational skills; the ability to compile information from multiple sources in an efficient manner and juggle multiple tasks simultaneously.
- Flexibility to work independently, proactively prioritize, and handle multiple projects in a high velocity environment.
- Accurate and detail-oriented sense of urgency; ability to manage frequent / constant changes in a fast paced environment.
- Strong customer service, time management and organizational skills.
