THE ROLE
In this role you will be responsible for :
- CCure Access Badging System Administration and Reporting : Manage CCure system, new badge inputs, terminations, accurate data entry and prepare monthly occupancy status report to management
- Wisp Space Management System Administrator : Manage additions, deletions, and reservations with regular reporting
- Environmental data collection and reporting via CREDIT 360
- Participates on emergency preparedness planning team
- Create all departmental Purchase Orders via SAP + Ariba and provide monthly reporting
- Liaise with suppliers and AP regarding invoice inquiries
- Track regular and ad-hoc department expenses (PO LOG)
- Supply Management : Proactive supply ordering for Office Services, Hospitality, Facilities; maintain inventory with approved budget and assist in locating parts, supplies, and materials Assist the Facilities Director + Manager, in all aspects of project implementation as needed including preparing and maintaining RFP’s, bid information, and other contract documents
- Receive, prioritize, and process work order requests; ensure problems are resolved quickly Update and maintain records to track maintenance and repairs Manage furniture inventory and prepare quarterly storage review Manage Iron Mountain inventory according to Coty’s records retention policy Support COTY company store activities Performs other related duties as assigned to support Operations, Facilities, Office Services and Security leads.
QUALIFICATIONS
We’d love to see candidates who have :
Essential :
- High school diploma or equivalent
- 2+ years in office services / administrative role
- Excellent organizational skills
- Highly effective written and verbal communication skills
- Detail orientated
Desirable :
- Associates degree in business related field
- Experience or knowledge with SAP
- Experience with CCure or similar badging system
- Experience with WISP or similar space management system
