The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing administrative tasks in a professional and timely manner.
Responsibilities
- Manage the reception area and staff to ensure effective communication both internally and externally
- Provide office guests with a hospitable experience
- Supervise the maintenance of office areas, equipment, and facilities
- Interact with IT, phone and building personnel as needed
- Coordinate and maintain corporate calendar for meetings, lunches, dinners, outside events, etc.
- Ensure an adequate inventory of office supplies, snacks, and other needs.
- Handle deliveries and sorting mail. Drop mail off at Post Office daily.
- Scan small volume of AP invoices received by mail.
- Manage weekly Tool Box Talks and coordinate with 3rd party Safety Management vendor.
- Update employee birthdays and anniversaries in the company calendar and on Constant Contact.
- Coordinate the Employee of the Quarter program for Senior Management to review on a quarterly basis.
- Coordinate necessary information to apply for affiliate renewals (EX : CCS, ABC STEP, ABC AQC)
- Assist in other company initiatives with positive attitude and can-do spirit.
- Other duties as required.
Qualifications
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
- Demonstrated customer service orientation
- Takes initiative and has a proactive mindset
- Works well in a team environment and as part of a team.
- Capable of learning company database programs and software.
- Valid Driver's License
