The primary responsibility of the Finance Coordinator is to coordinate the administrative tasks required in the finance department.
This includes the creation of purchase orders, gathering of quotes to determine price reasonableness, research to identify sources for needed materials and services, reconciliation of purchase orders and invoices, entry of invoices for payment, payment processing, grant expense monitoring, and preparation of bank deposits.
ESSENTIAL FUNCTIONS OF THE JOB
- Reviews and processes approved purchase requisitions to create purchase orders.
- Works with Directors to ensure all purchases meet the Federal, State, Local and Lextran Purchasing Procedures.
- Gathers pricing quotes to establish price reasonableness.
- Assists departments with ordering items. May be required to pick up items (locally) on occasion.
- Monitors grant expenses through invoice processing.
- Disposes of surplus goods through auction.
- Reconciles invoices and purchase orders and enters invoices for payment.
- Works with departments and vendors to coordinate all purchases, including invoice or payment discrepancies.
- Process accounts payable checks.
- Gathers information for documentation to ensure all files are complete.
- Works with Directors and employees to resolve and document internal and / or external vendor complaints.
- Responsible for fare box collection and prepares deposits for the bank.
- Assists the Finance Manager in cash drawer audits and accounts receivable tracking.
- Assists the Purchasing Manager with documentation required by FTA and Lextran’s purchasing procedures.
OTHER DUTIES AND RESPONSIBILITIES OF THE JOB
- Orders and maintains stock on passes and transfers.
- Delivers passes as needed.
- Must be familiar with vendor contracts and purchasing procedures.
- Assists with preparation for audits and physical inventory.
- Assists with identifying areas for improvement and making constructive changes.
- Keeps abreast of all changing policies and procedures, as it applies to the position.
- Filing and coordination of all Finance Department documents (including long-term storage).
- Monitor shredding containers and disposal for all departments.
- Performs other duties as assigned.
