Interior Health is looking for an experienced, highly efficient and self-directed term specific full time Administrative Assistant to join the Information Privacy and Freedom of Information (FOI) as well as the Policy and Risk Management teams.

The location of this position is flexible within the Interior Health Region, with preference given to the Okanagan candidates.

The successful candidate may be required to work in a hybrid schedule both on site and remote.

This term position is until January 30, 2025 or return of the incumbent.

Utilizing advanced knowledge of MS Office 365 applications, the successful candidate will have strong critical thinking skills and needs to be able to anticipate and prioritize arising issues related to the two departments.

We are looking for someone who is comfortable building and maintaining strong relationships with team members and other departments.

Experience working with legal / regulatory and insurance related processes would be considered assets.

Salary Range :

Salary range for the position is $48,476 to $63,624. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees.

What will you work on?

The successful candidate works in a team environment to provide confidential administrative support functions to the Directors of Information Privacy and FOI as well as the Director Policy and Risk Management for their departments and other management staff as required.

The Administrative Assistant serves as a vital linkage and communication source to keep the department or program informed and aligned to its priorities.

  • Some responsibilities include : designing and updating sites on Sharepoint and TeamSite as well as webpages, coordinating and organizing workflow;
  • determining priorities; composing confidential correspondence for signature; designing and creating correspondence, documents, presentations, orientation packages, and spreadsheets (including data entry) for authorization by the management team;
  • maintaining the integrity and confidentiality of all information which flows through, and is processed for management as it pertains to client care, operations, personnel, labour relations, finance, and public affairs;

and supporting the Directors in setting the positive, collaborative, efficient tone for the department or program.

The Information Privacy and Freedom of Information (FOI) as well as the Policy and Risk Management departments contribute to the maintenance and long-term enhancement of public trust.

These two teams work to ensure organizational accountability and compliance with relevant regulatory requirements providing privacy, freedom of information, risk management and policy guidance / support to a wide range of internal and external stakeholders.

As a public body, Interior Health (IH) must comply with the B.C. Freedom of Information and Protection of Privacy Act (FIPPA).
