Practice Administrator Job Summary
We are seeking an experienced, energetic Practice Administrator to join our team. The ideal candidate will be organized, detail-oriented, and capable of managing various administrative and financial tasks promptly and efficiently.
This is an exempt, management position responsible for leading and directing clinic operation and staff supervision. The Practice Administrator will play a crucial role in overseeing office operations, human resources and ensuring smooth business processes.
Responsibilities
- Manage the daily operations of the organization by creating, implementing, and monitoring policies and procedures
- Evaluate and monitor the organizations' financial position and issues consistent reports on the organization's financial stability, liquidity, and growth
- Gather, coordinate, report, and maintain all data for fiscal and statistical analysis
- Assure implementation of internal controls and generally accepted accounting procedures
- Perform timely accounts payable and bank reconciliation responsibilities
- Support budgeting processes and performance
- Oversee and perform HR tasks to ensure effective administration / implementation of compensation, benefits, job descriptions, on / off boarding personnel, employee and company policies, performance evaluation, and payroll practices
- Participate in the selection, training, and supervision of clinic staff
- Coordinate required employee training on HIPPA, Workplace Safety, Cyber Security, Harassment, etc.
- Conduct bi-weekly employee payroll management and processing
- Maintain facility infrastructure including clinic space and maintenance, broadband network connections, phones and voice system, employee-required devices, and other tools to enable operations
- Develop and implement policies and procedures and ensures compliance with all regulations and standards
- Oversees vendor / supplier relations, accounts and contracts. Serves as liaison between clinic and external agencies
- Ensures all insurance coverage's including directors / officers, malpractice, general property, etc. are in place and each year
- Track and manage inventory for clinic, front office, and lab; place and track orders when necessary
- Maintains the strictest confidentiality
- Perform other duties as assigned
- Education / Certification Degree or equivalent certification in the area of health care administration and / or finance;
additional qualifications in business administration, medical practice finance, and human resource are desired. Licensure or ability to obtain licensure when background credentials warrant.
Experience
- Minimum five years executive-level experience including five years of experience in the administration of a health care organization
- Excellent knowledge of principles and practices of health care planning and management sufficient to manage, direct, and coordinate the responsibilities, systems and procedures
- Proficiency in medical accounting
- Proficiency in MS Office (MS Excel, MS Outlook, in particular), QuickBooks Pro Online, EMR, Payroll and HR Systems
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Skill in establishing and maintaining effective working relationships with employees, policy-making bodies, third-party payers, patients, and in the public
