Senior Administrative Assistant, Global EH&S

Opportunity
Position reports to Vice President, Environment, Health and Safety and performs a wide range of administrative and office support activities for the department, Director, and Managers to facilitate the efficient operation of the department.
Coordinate departmental office activities and perform administrative support and office assignments. Assignments include such duties as office coordination, scheduling meetings, preparing and maintaining office records, reports, confidential files and correspondence pertaining to the department's area of responsibility.
In addition, assigned support and other related responsibilities within the EHS Department.Administrative duties are inclusive of organizing, processing expense reports, coordinating meetings, collecting materials, drafting letters / presentations / agendas, ordering supplies, procuring hardware / software and other equipment, managing Departmental calendars and travel upon request, processing electronic requisitions to obtain PO’s and maintaining an orderly space, etc.
Specific Responsibilities
- Administrative support for the Vice President Environment, Health and Safety, and EHS Department.
- Handles various correspondence; proofs and prepares final documents.
- Receives and screens visitors and telephone calls, takes messages, schedules appointments and provides information to callers requiring knowledge of departmental operations, supervisor's point of view, and the interpretation and application of policies and procedures.
- Processes invoices, vouchers and purchase orders - verifies items received and invoices are correct in accordance with purchasing procedures.
- Performs credit card allocation and statement reconciliation and maintains purchasing card records.
- Establishes and maintains office files, logs, indexes, control records, or other information concerning the work under the department head's control.
- Serves as liaison between the department head and staff by transmitting information, explaining appropriate work instructions, and following up on assignments.
- Assists in the preparation of budgets and financial reports; updates personnel records.
- Organizes work by reading and routing correspondence, collecting information and initiating telecommunications.
- Maintains calendar for the Vice President Environment, Health and Safety and other department personnel; arranges meetings, conferences, teleconferences, and travel upon request.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Processes electronic requisitions to obtain Purchase Orders.
- Prepares Expense Reports for staff as requested.
- Opens and distribute staff’s mail.
- Maintains office supplies inventory by checking stock to determine inventory level, anticipates needed supplies; places and expedites orders for supplies;
verifies receipt of supplies.
Serves as a resource person and act to resolve problems.
Skills / Requirements
- Qualified individuals must possess at least two years of progressive administrative experience.
- Strong written and verbal communication skills required.
- Competencies required for this role are project management and be disciplined, flexible, accurate and a self-starter. The candidate must be a customer service-oriented individual.
The ability to maintain utmost confidentiality is vitally important.
- Must be proficient in the use of Microsoft Office (Outlook, Word, Excel, Power BI and PowerPoint) and other computer software programs.
- Demonstrate excellent administrative skills, general bookkeeping skills, organizational and filing skills, and the ability to use electronic equipment for word processing, data management, information retrieval, visual presentations, and telecommunications.
