Who Your Internal Customers Are and How This Role Delivers Value to Them :
- People Team : Work with the People Team to make sure the growth of our fleet and how we stay compliant through tools and process is following best practices used by the best.
- Safety Team : Serving as a safety resource and spokesperson, this role assists in contractor DOT compliance, maintaining accurate records and processes for our growing fleet.
- Operations Team : This role supports the local operations team in getting contractors signed and the right trucks ready to execute on client demands, ensure seamless and fast processes in getting trucks dispatch ready.
- Accounting Team : This role assists the accounting team in maintaining accurate records and compliance documentation, streamlining processes and ensuring transparency.
Your Impact :
By maintaining DOT compliance and accurate records, we ensure safety and integrity of our operations and minimize risks.
- Ensuring DOT compliance for all company contractors, drivers, and subcontractors.
- Maintaining accurate records and documentation through established systems and tools.
- Coordinating training and onboarding processes.
Foster strong relationships and clear communication between haulers and operations, ensuring that our fleet has the support and resources they need to be successful.
- Serving as the primary point of contact for our fleet around onboarding and compliance items.
- Acting as a liaison between management and contractors, facilitating strong communication.
Grow fleet in local markets by communicating with haulers through their interest in joining us to getting them dispatch ready.
- Reviewing and processing driver / operator applications.
- Assist with recruitment efforts by contacting applicants and explaining process and next steps.
- Coordinating training and onboarding processes for new members of the fleet.
Maintain accurate records, provide valuable administration support, and streamline the way we work to simplify our processes so we can focus on the Hauler Experience.
- Assisting with data entry.
- Providing administrative and clerical support.
- Managing administrative duties such as notary services and maintaining insurance information.
Increase communication by designing impactful materials and FAQs, collaborate with other teams / departments and coordinate local events to foster community and connection to our haulers.
- Design promotional materials with marketing team.
- Develop person-specific facing communications.
- Establish and maintain effective communication with owner operators.
- Assist with the planning and execution of owner operator appreciation events and townhalls.
- Refine owner operator feedback forums.
- Conduct owner / operator net promoter score evaluations.
Requirements :
- High school diploma required; associate’s degree preferred
- Bilingual proficiency (English / Spanish) required
- 4+ years' experience in an administrative / support role
- Previous experience in logistics or DOT transportation required
- Knowledge and experience with interstate and intrastate DOT regulations
- Strong organizational skills and ability to thrive in a fast-paced environment
- Willingness to learn and adapt in a rapidly evolving industry
- Excellent written and verbal communication skills
- Customer service orientation with a focus on delivering exceptional experiences
- Experience with IFTA regulations a plus
- Experience and familiarity with DOT hiring processes required
- Experience with tools such as HireRight, Tenstreet, and Fleetworthy
- Proficiency in Google Suite and Microsoft Office Suite
