Job Summary

The incumbent will be assigned to the Citywide Case Management Forensics Program (CWCMF) in partnership with the San Francisco Adult Probation Department (SFAPD).

The overall goal of CWCMF and SFAPD's collaboration is to treat high-risk clients, promote safe and sustained re-entry into the community, and reduce recidivism into the criminal justice system.

Under the supervision of the Division Administrator and CASC Program Director, the Program Administrator will oversee administrative, operational, non-clinical aspects of the CASC.

Responsibilities will include facility operations, expense reimbursement and invoice review / submissions, PO set-up, database management and reporting, client file management, ordering office and medical supplies, filing, IT help desk support, and staff and faculty productivity, billing, and contract compliance reporting.

The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF.

For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $75,700 - $123,100 (Annual Rate).

Department Description

Citywide Case Management Programs is a Division of the UCSF / ZSFG Department of Psychiatry, located at 982 Mission St. Its mission is to provide behavioral health intensive case management services to adults who suffer from serious mental illness, co-occurring substance abuse disorder, and chronic medical conditions, experience significant systemic determinants of health, including justice-involvement or other forms of institutionalization, poverty, and housing instability.

Required Qualifications

  • Bachelor's degree in related area and minimum three years of experience or equivalent experience / training.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Ability to use discretion and maintain confidentiality.
  • Ability to work with clients and program staff from diverse cultural and social class backgrounds.
  • Ability to work with electronic data collection tools (i.e. REDcap; Qualtrics; Survey Monkey) and maintain "Access and Excel" software databases.

Recognize and correct data irregularities. Set up routine computer procedures and resolve issues. Ability to run reports and present data to medical staff, program director, and division administrator.

Regular use of judgment and discretion to solve operational problems where the answer is not apparent; select the best solution from several "right" answers or no precedent;

determines own schedules and work priorities; makes suggestions for process improvement; interprets oral and / or written guidelines to solve problems.

  • Work independently with limited supervision; responsible for several complete administrative processes.
  • A creative mind with an ability to suggest improvements.
  • Proficiency in relational database design and management.

Preferred Qualifications

  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting and fund management, and / or personnel management.
  • Solid knowledge of common University-specific computer application programs.
