Job Summary

Involves the management, long-range planning, organization, coordination, oversight and / or performance of multiple operational activities and services for one or more buildings, including space planning, general maintenance, specialized facility systems and operations, call center triage and tracking of repair services, move planning and coordination, development of procedures, policies and communications related to infrastructure and safety.

Experienced professional who knows how to apply theory and put it into practice with in-depth understanding of the professional field;

independently performs the full range of responsibilities within the function; possesses broad job knowledge; analyzes problems / issues of diverse scope and determines solutions.

Uses skills as a seasoned, experienced professional and implements and coordinates building management procedures and space planning activities.

Develops space allocation project scope, schedule and budget plans for management review, implements and makes recommendations for new and revised procedures.

Oversees various facilities-related operational activities. Has general knowledge about several operational functions. Receives little instruction on daily work, general instructions on new assignments.

May function as a lead and resource.

The projects analyst is responsible for a variety of facility functions in the Department of Radiology, Parnassus site. The individual will coordinate with the Site Manager a variety of operational activities including facilities moves, space database management and Environmental Health and Safety (EH&S) reporting.

The Projects analyst will perform other duties as assigned by department leadership, which will include serving as a project's analyst for small ad hoc projects.

Initiative, judgement, flexibility, and the ability to work independently with little oversight are keys to success in this position.

The projects analyst will also take on the role of Administrative Staff Team lead. He / She will collaborate with the Site Manager to lead a team of 7 administrative staff who manage the department's clinical needs.

The staff team lead will provide training and direction on an as-needed basis for the admin staff to ensure that all division administrative tasks and projects are completed effectively and in a timely manner.

Department Description

The Department of Radiology & Biomedical Imaging is one of the largest departments in the School of Medicine (SOM) at UCSF, generating more than $70 million in professional fee revenues each year, and annual grant awards of $30-40 million.

The mission of the Department includes research, teaching, and patient care. The department has over 200 salaried faculty and non-faculty academics.

There are also approximately 75 With Out Salary (WOS) clinical faculty. The department has over 200 career staff employees.

The Department operates across eight sites in San Francisco and the Bay Area.

Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3 year of related experience
  • Strong interpersonal and communication skills.
  • Thorough interpersonal skills including good service orientation and effective problem solving.
  • Thorough and effective skills to multi-task and prioritize daily activities effectively.
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Highly proficient working with Microsoft Office Suite (MS Word, Excel, PowerPoint), Adobe Acrobat is required to execute job responsibilities under very tight deadlines.

Incudes the proven ability to develop spreadsheets, reports, and independently draft correspondences and create PowerPoint presentations.

  • Prior experience organizing meetings, including travel arrangements, logistics and expense reimbursement.
  • Knowledge of UCSF Accounting and School of Medicine policies / procedures on travel, meetings, and entertainment; expenses, purchasing and vendor payments.

Preferred Qualifications

  • Thorough knowledge in the areas of building space planning, codes, capacity, security, fire safety, organization and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Knowledge of architectural or engineering concepts.
