Responsibilities
- First point of contact for visitors, clients, and vendors. This includes greeting guests warmly, ensuring they feel welcome, and helping as necessary.
- Manage incoming calls and emails, ensuring efficient and friendly communication, and setting the tone for the company’s culture and professionalism.
- Maintain the overall appearance of the reception area and office to ensure it is clean, organized, and professional.
- Support multiple executives by managing calendars, coordinating internal and external meetings, and ensuring schedules run smoothly.
- Handle all aspects of travel arrangements, from booking flights and accommodations to coordinating ground transportation and preparing itineraries.
- Manage expense reports for executives, ensuring timely submission and reimbursement, and tracking expenses to ensure accuracy.
- Multi-tasking is crucial, juggling various priorities such as meeting preparations, travel coordination, and supporting day-to-day tasks for multiple team members simultaneously.
- Maintain and organize electronic files, ensuring proper accessibility for team members.
- Ensure the smooth operation of office equipment such as copiers, fax machines, and computers.
- Order and maintain office supplies, equipment, and inventory.
- Assist with other projects as necessary.
Ideal Experience
- A bachelor’s degree is preferred with 2+ years of administrative experience in a professional setting.
- Proficiency with Microsoft Office Suite and other meeting platforms.
- Excellent interpersonal and communication skills (verbal and written).
- High attention to detail and accuracy in work.
- Ability to prioritize and handle multiple projects simultaneously.
- Time management and ability to meet deadlines.
- Ability to be proactive and take initiative.
